Requirements
  • A minimum of five years of experience in a Department of Transportation and Federal Motor Carrier Safety Administration compliance-related role is required.
  • Knowledge of federal and state laws and regulations pertaining to the transportation industry.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Ability to learn fleet management systems such as Samsara.
  • Ability to handle multiple projects simultaneously.
  • Ability to establish and adhere to a daily routine.
  • Ability to facilitate meetings and trainings effectively.
  • Ability to sit for prolonged periods, reach for and manipulate standard office equipment and objects, and communicate with staff; occasional lifting of up to 20 pounds.
Responsibilities
  • Maintain compliance with Department of Transportation, Federal Motor Carrier Safety Administration, and company policies.
  • Review, maintain, and audit driver qualification files.
  • Ensure drivers remain current on all Department of Transportation requirements.
  • Review hours-of-service logs for accuracy and compliance.
  • Maintain commercial motor vehicle files accurately.
  • Ensure vehicles are legally operational with required licenses, permits, and certifications.
  • Coordinate driver’s license and medical examination card renewals.
  • Participate in driver recruitment and pre-employment processes.
  • Prepare and issue Department of Transportation-compliant paperwork for new hires.
  • Ensure defects reported on Driver Vehicle Inspection Reports are promptly repaired and signed off by authorized personnel.
  • Conduct audits of maintenance records and vehicle inspections.
  • Report and review incidents and create improvement action plans.
  • Act as the primary contact between the company and outside regulatory agencies.
  • Maintain Samsara hardware and software across the truck fleet, including equipment installation, software configuration, and driver support.
  • File quarterly fuel tax and state mileage returns with the appropriate states.
  • Manage the company’s Department of Transportation drug-testing program.
  • Serve as the primary contact for driver-related electronic logging device issues, including log auditing and editing with proper annotations in Samsara.
  • Communicate changes in laws, policies, processes, and procedures to employees.
  • Provide Department of Transportation and safety training as required.
  • Conduct quarterly driver safety meetings.
  • Develop and provide in-person training materials, regulatory updates, and workshops.
  • Participate in driver pay and labor discussions concerning compliance and regulatory requirements.
  • Maintain records for each contract carrier, including insurance certificates, contract carrier agreements, motor carrier permits, California Air Resources Board certificates, and drug-testing certificates.
  • Monitor 90-day preventative maintenance to ensure equipment is serviced on schedule.
  • File accident claims with designated insurance agencies.
  • Follow up with claim representatives to provide necessary information.
  • Work with insurance adjusters on equipment inspections and repairs.
  • Follow up to ensure payment for repairs.
  • Facilitate contracts with the San Joaquin Valley Air Pollution Control District for truck trade-up, standard replacement, and fleet expansion programs.
  • Complete contract and payment-procedure paperwork to ensure grant payments are made promptly.
  • Oversee and manage outside carrier agreements for OHK and Cal Western, ensuring compliance documents have appropriate coverage and requirements.
  • Perform other duties as assigned.
