Job Purpose: The Provider Onboarding Coordinator will support the growth of the MUSC Health system by coordinating the onboarding requirements for new providers. Partners with key stakeholders in the Charleston and Regional Health Network to develop and implement a streamlined process to ensure successful placement, relocation, orientation and integration of new physicians and advanced practice providers.

Job Description
Job Duties (list job tasks)
- Establish highly effective working relationships with internal customers, physician leaders and all onboarding stakeholder departments to skillfully coordinate onboarding activities in Charleston and throughout the RHN (Regional Health Network).
- Serve as a resource on global onboarding policies and procedures for newly hired physicians/advanced clinical providers, division staff, department staff, and other MUSC contacts.
- Build relationships by communicating regularly with new physician prior to hire, including sending welcome emails and other communications to keep the candidate informed about the credentialing progress, onboarding progress, and plans for their initial start.
- Ensure that all administrative and logistical issues have been addressed prior to each new hire’s start date including, but not limited to employee ID and access, computer access and training, online training, white coat, employee health, development of an itinerary for their initial start, and creating itineraries for new providers prior to their first day to facilitate completion of onboarding items and escorting them to the meeting locations when appropriate.
- Performs periodic “check ins” with new providers throughout the onboarding process to ensure they are familiar with process and timelines.
- Sends out surveys to new providers 30 days post hire and 6 month post hire and reports on findings
- Schedules regular meetings with department contacts to report on onboarding activities. Revise onboarding checklists as needed.
- Solicits and incorporates ideas to expand our “best practice” onboarding initiatives.
- Assist the new physician/advanced clinical provider with the details of relocation, as needed, including connecting the physician with relocation resources and contacts. Proactively identify opportunities for their family to become established and engaged in the community.
- Collaborates with director to ensure onboarding resources are continually updated including forms, websites, onboarding resources, and other department material.
- Exhibits a welcoming, customer service focused attitude in all interactions both internal and external to the organization.
- Seek out new ideas and best practices in physician onboarding and incorporates them into the organization’s onboarding efforts.
- Serves on the MUSC Physician Onboarding Taskforce
- Assist with updating and maintaining recruitment reports with potential start dates for new providers based on MUSC credentialing requirements.
- Participates in other duties and responsibilities as assigned in order to recruit and retain physicians.
Additional Job Description
Bachelor’s degree in Human Resources Management, Business Administration or related field from an accredited college or university, or High School Diploma or equivalent and two years of progressively responsible, business or customer service related experience in a dynamic and diverse environment. Human resources or payroll experience preferred. PHR or SHRM certifications accepted in lieu of experience.
