Requirements
  • High School Diploma or GED and 0-2 years of general work experience.
  • General knowledge of office and administrative practices and principles.
  • Skill in operating computers and related software applications, including Microsoft Word, Excel, and PowerPoint.
  • Knowledge of standard office equipment.
  • Ability to communicate effectively orally and in writing with a diverse population.
  • Ability to be detail-oriented and organized.
  • Ability to exercise discretion and ensure a high level of confidentiality.
  • Ability to establish and maintain effective and harmonious work relations with faculty, staff, students, and the general public.
Responsibilities
  • Control the workflow of the office.
  • Implement office procedures and practices.
  • Perform directives from the supervisor to coordinate administrative procedures within the department and among other offices.
  • Enter requisitions and financial documents using related software applications.
  • Submit final reports to department administrators and managers.
  • Use the university’s computing software and databases in the execution of administrative and clerical duties.
  • Maintain others’ schedules and assist with scheduling appointments, meetings, and conferences for department heads and other department staff.
  • Assist with scheduling facilities and services according to instructions from the supervisor.
  • Provide general information in response to in-person or telephone inquiries and refer highly analytical inquiries to the immediate supervisor.
  • Maintain the organization of the office and perform basic office upkeep to ensure a clean, professional work environment.
  • Assist with coordinating logistics for department events and meetings, including travel and lodging arrangements, agendas, information packets, parking, and amenities.
  • Provide on-site guidance to visitors and guests for university-related events.
  • Review catalogs and meet with vendors to order office supplies and equipment.
  • Obtain bids and price quotes from vendors and monitor supply inventory.
  • Create and manage office filing systems.
  • File correspondence and other items accordingly.
  • Receive, open, and screen mail for the department.
  • Perform other job-related duties as assigned.
