Requirements
  • A bachelor's degree in healthcare management, business, or a related field, or an equivalent combination of education and work experience.
  • Three to five years of related work and staff management experience.
  • Operational management knowledge of retail or medical offices and best practices.
  • Thorough working knowledge of front-office and back-office procedures and roles.
  • Knowledge of training practices, technology applications, reporting systems, business correspondence, business reporting techniques, and business principles.
  • Knowledge of ophthalmology clinic management and operations, including best practices.
  • A valid driver's license.
  • Ability to respond to inquiries from customers, staff, vendors, and community members; apply sound judgment; interpret policies and procedures; multitask; prioritize tasks; and make timely decisions under pressure.
  • Ability to perform front-office and back-office duties when needed.
  • Ability to maintain compliance with applicable state, federal, and other regulations, including OSHA, workers' compensation, HIPAA, ADA, FEHA, and Department of Labor requirements.
Responsibilities
  • Manage and oversee patient census, clinic performance, patient flow, expenditures, doctor schedules, and staffing levels for the assigned office.
  • Prepare and control the clinic budget and develop, implement, and maintain budgetary and resource-allocation plans.
  • Participate in planning and implementing regional and company goals, programs, objectives, personnel plans, resource plans, and equipment and supply plans.
  • Partner with the DFO, doctors, and clinic staff to create an accountable environment where patient care comes first.
  • Organize, manage, and coordinate operational and administrative processes, including clinic schedules and assignments.
  • Manage support staff and delegate responsibilities while enforcing policies, procedures, standards, guidelines, training programs, and cultural values.
  • Participate in talent acquisition, including interviewing and selecting talent, and perform talent-management functions including performance reviews, merit increases, disciplinary actions, and timekeeping and attendance activities.
  • Coach, develop, mentor, evaluate, and counsel staff.
  • Resolve internal staff conflicts and foster team-member engagement and corporate culture development.
  • Lead daily huddles and at least one office meeting per month.
  • Work with the Compliance Department to conduct required monthly, quarterly, and annual office compliance audits.
  • Maintain compliance with state, federal, and other regulations, including OSHA, workers' compensation, HIPAA, ADA, FEHA, Department of Labor requirements, and human-resources policies and practices.
  • Provide feedback on tactics that affect financial and patient-focused outcomes.
  • Maintain a professional appearance and demeanor, keep commitments, and inform the direct supervisor of work progress, schedules, and issues.
  • Perform other related duties and ad hoc reporting assigned by management.
  • Avoid activities constituting the practice of ophthalmology and do not control or interfere with the clinician-patient relationship.
