Requirements
  • A Bachelors' or Masters' Degree from an accredited school (Preferable) and/or a minimum of 3 years' experience in a similar position
  • Minimum of eight years' experience working with senior management
  • Experience and capabilities in facilitation of Strategic Planning Facilitation, Board Retreat Facilitation, Advisory Boards and Conferences or group decision-making meetings using a Strategic Planning Facilitation, Board Retreat Facilitation, Advisory Board and Conference model
  • Project management experience is required, including developing and managing scopes of work and budgets
  • Ability to foster collaboration and communication, leads the coordination of meeting schedules, assist with the creation of agendas, facilitate group meetings and project/taskforce initiatives and distribute meeting minutes
  • Ability to live capture of meeting discussion/decisions in Microsoft Word or Excel and able to summarize information for clarity
  • Combination of education and experience providing knowledge of project management within a complex organization
  • Comfortable working with group dynamics while managing group meetings and project/taskforce initiatives
  • Competent at observing and intervening when group dynamics change or disruptive behaviors occur
  • Demonstrated ability in instruction and staff development including development of materials, coaching and mentoring
  • Effective meeting leadership (in person and remotely) with internal and Customer Subject Matter Experts
  • Exceptional customer service skills with clients and internal committees
  • Experience working closely with clients, program leadership, sub-group chairs, meeting participants, and stakeholders through facilitation of cross-functional meetings and internal department-level meetings
  • Experience related to quality assurance or quality control responsibilities
  • Familiarity with core Microsoft Office tools especially Excel, Outlook, Word, and PowerPoint
  • Highly organized, independently motivated leader with ability to multi-task
  • Valid passport and ability to travel as required
  • PMP certification a plus
  • Strong interpersonal, written and oral communication skills and cross-functional collaboration abilities
  • Ability to manage group dynamics and provide problem-solving, conflict resolution, team building, planning and organizing skills
  • Strong sense of urgency and ability to drive group toward action
  • Knowledge of knowledge management, documentation practices and ability to live-capture meeting outcomes
Responsibilities
  • Facilitate interaction among multi-party entities and diverse interests to contribute to project/task force initiatives and maintain respectful dialogue
  • Coordinate/Logistics Processes including SOP development and meeting scheduling, and create Plans of Action and Milestones
  • Clarify meeting content and objectives, establish ground rules, review previous information, follow up on action items, and pre-work interviews to gain consensus on topics
  • Develop agendas with clients and stakeholders and estimate timeframes to achieve goals; introduce dialog and decision-making tools as needed
  • Select appropriate methods and tools to enable participants to achieve results and help define goals for group meetings and project initiatives
  • Provide ongoing consultative facilitation and resolve conflicts to keep on track with goals and resources
  • Create neutral environments that encourage civil dialogue and adapt to new insights while keeping objectives in focus
  • Provide leadership coaching and real-time guidance to clients, leadership, sub-group chairs, and participants
  • Follow-up deliverables including meeting schedules, agendas, minutes, and logs of tasks/issues
  • Post-event debriefs and after-action reports documenting what happened and suggestions for improvements
  • Public involvement and communications to maintain knowledge repositories and distribute information
  • Document retention and knowledge repositories maintaining official records per guidelines
  • Support program recommendations implementation and execution of action items
  • Lead and support development of meeting agendas, minutes, and interim summaries; manage logistics for meetings and technology needs
  • Quality control/quality assurance to ensure meetings run on time and deliverables meet quality thresholds
Desired Qualifications
  • PMP certification a plus
  • Experience managing high-stakes facilitation with senior-level stakeholders in Fortune 1000 environments
  • Certified Professional Facilitator or equivalent training
  • Exposure to Federal Advisory Committee Act knowledge management and documentation practices
