Requirements
  • A college or university degree in a related field.
  • Five to seven years of work experience in a related job discipline.
  • The ability to work evening and weekend hours and maintain flexibility in work hours and availability.
Responsibilities
  • Understand and implement STAGE’s vision, goals, and processes as a Center and as outlined by each endeavor’s creative director, and lead STAGE’s administrative and operational functions accordingly.
  • Identify and fill existing and emerging gaps during projects; research and source people, places, and other resources; generate solutions for project requirements; and help review and revise project and event timelines.
  • Research, identify, build, and maintain partnerships with faculty, science and art researchers, practitioners, institutions, funding agencies, foundations, and industry to support projects and foster collaborations and initiatives.
  • Research grant opportunities, strategic and creative partners, and distribution avenues; draft grant proposals, supporting materials, and other documentation.
  • Produce on-campus and off-campus events nationally and internationally with the Center’s Program Manager and bring them to successful fruition.
  • Develop and implement metrics to measure programming and funding outcomes, particularly impact.
  • Identify and implement ways to engage PME, University of Chicago students across levels and disciplines, and faculty from all disciplines in STAGE projects.
  • Conduct research and landscape analyses to inform strategic directions and cultivate interest in and dissemination of the Center’s work, then translate findings into actionable items.
  • Program and implement a yearly calendar of four to six focused activities, such as symposia, readings, and workshops, and curate marketing strategies to increase awareness of the Center’s work.
  • Create slides, reports, presentations, and related communications about the Center’s mission and identity, and draft communications for funding agencies, sponsors, government officials, University administration, and other key audiences.
  • Develop and administer project budgets and make or recommend budgetary decisions.
  • Serve as a key resource for program information and resolve problems or questions raised by program staff, University administrators, or other contingencies.
  • Promote an organizational culture committed to STAGE’s mission, high standards, excellent work, and a collaborative, inclusive, interdisciplinary, and multicultural environment.
  • Work closely with campus partners and manage STAGE staff.
  • Develop and communicate program priorities and performance standards, assess operations against those criteria, conduct quality assurance reviews, and recommend changes.
  • Interact with faculty, researchers, and staff for committee work and information.
  • Perform other work as needed.
Desired Qualifications
  • A bachelor's degree in the sciences, engineering, or technology.
  • A master's degree or PhD.
  • Experience in a complex research university environment, national laboratory, medical center, or similar environment.
  • At least three years of administrative leadership experience involving multidisciplinary efforts.
  • A successful track record in grantsmanship and manuscript preparation.
  • Experience in event management and planning for large- and small-scale productions or venues, including maintaining event details with an international team asynchronously across varied time zones.
  • A demonstrated track record of developing strong relationships with academic researchers, government entities, or external partners.
  • A demonstrated record of working collaboratively and communicating effectively with a variety of constituencies.
  • Proficiency with collaborative software platforms such as Microsoft Office Suite, Adobe Creative Suite, Zoom, and Box, including developing processes and filing systems that leverage these tools for project planning and budget creation.
  • Experience learning and using project management, financial, database, website, and graphic design software systems.
  • A high degree of initiative and motivation, with the ability to work independently, take direction, and achieve consensus while maintaining attention to detail and clarity in communications and work products.
  • Excellent written and verbal communication skills, including grant writing, report writing, and presentations.
  • Outstanding interpersonal skills and the ability to work collaboratively and diplomatically with faculty, staff, and others at all organizational levels.
  • Expertise in project planning and management, including crafting and adapting multiparty work plans, tracking tasks, and ensuring completion.
  • The ability to manage and prioritize multiple competing, high-impact tasks during high-demand periods and adapt to unexpected changes in priorities.
  • The ability to anticipate and solve complex problems requiring creativity, originality, and ingenuity.
  • A proven record as a strategic thinker who approaches challenges thoughtfully and with appropriate urgency.
  • The ability to remain calm, courteous, and productive despite challenges and competing or changing priorities.
  • The ability to manage people and work collaboratively within a team, lead administratively and organizationally, and execute operational tasks.
  • The ability to respond promptly and effectively to internal and external inquiries and requests while managing competing demands and forecasting budgets responsibly.
