Responsibilities
  • Examine and verify that entries, postings, and totals are accurate and that supporting documents are included.
  • Perform routine arithmetic calculations and tabulate by hand or with recording machines.
  • Perform clerical tasks involved in keeping simple, routine, and repetitive accounts.
  • Post entries in cash books, journals, ledgers, and other records.
  • Prepare records of cash receipts and disbursements.
  • Make extensions and calculate percentages and discounts.
  • Calculate deductions from individual pay.
  • Maintain continuous records of the quantity, type, and value of merchandise, materials, equipment, and stock on hand.
  • Check and compare the completeness of vouchers, payrolls, requisitions, invoices, bills, receipts, and other documents.
  • Examine vouchers to ensure they have the necessary approvals and arithmetically correct data.
  • Review financial data to ensure the correct accounts and appropriations are cited.
  • Review expense accounts for funding or budgetary limitations and refer discrepancies to higher-level staff.
  • Post accounting information to data transaction forms using the correct accounting category or code and utilization of funds in accordance with specific guidelines.
  • Post noncomplex disbursements, deductions, remittances paid and due, and checks.
  • Record charges, overpayments, refunds, and similar items in the record book.
  • Prepare vouchers and invoices and assist with periodic reports.
  • Perform simple bank-account reconciliations.
  • Assist with collecting and compiling data for budget requests, financial statements, and other reports.
  • Refer errors and irregularities to superiors.
  • Provide routine information in person and over the telephone.
  • Maintain established records and files where data selection and classification do not require difficult decisions and procedures are routinized.
  • Maintain standardized double-entry bookkeeping records by making journal entries and posting to ledgers and other records.
  • Learn to use the electronic and manual recording and information systems used by the agency, office, or related units.
