Job Description Summary

To manage the five Cardiology Fellowship programs and all related program oversight. This includes primary program coordinator oversight of three programs (General Cardiovascular Disease, EP, and Advanced Heart Failure), as well as additional program support for Interventional Cardiology and Adult Congenital Heart Disease programs. Overall duties include operational oversight and strategic implementation of programmatic priorities to ensure high quality Graduate Medical Education (GME) programs. Serves as subject matter expert in the field of GME, with oversight and responsibility for recruitment, credentialing, curriculum, evaluation, accreditation, compliance, fiscal, and reporting processes. Works under general supervision of Program Director(s). Assist the Program Directors with all aspects of recruiting, on boarding, curriculum, scheduling evaluation, graduation and maintaining all records related to training activities. Provide evaluation results, assure evaluations are created and linked to the appropriate people and print out the evaluations for semiannual and annual evaluations.

Job Description

Job Duties:

25% - Coordinates programs for the Cardiology Fellowship program. This includes primary program oversight of all three programs (General/Cardiovascular Disease, Advanced Heart Failure & Transplant Cardiology, and Clinical Cardiac Electrophysiology). Provide evaluation results, assure evaluations are created and linked to the appropriate people and print out the evaluations for semiannual and annual evaluations. Assist the Program Directors with all managing aspects of recruiting, on boarding, curriculum, scheduling evaluation, graduation and maintaining all records related to training activities. Assist with the coordination of any non-accredited program requests and implementation, as well as coordination with additional new Program Director(s), as they come to the Division of Cardiology. Provides expert consultation to Program Directors and staff regarding curriculum and evaluation needs while creating innovative and effective methods. Utilizes data and best practices to inform strategic initiatives to advance GME HR Functions such as recruitment and resident/fellow well-being. Counsels Program Directors, faculty, staff, and residents/fellows on policies, regulatory, accreditation, and board requirements. Ensures that all deadlines set by MUSC, GME Office, Division/Department, and ACGME are adhered to.

15% - Provides additional program support for Interventional Cardiology and Adult Congenital Heart Disease programs. Provide evaluation results, assure evaluations are created and linked to the appropriate people and print out the evaluations for semiannual and annual evaluations. Assist the Program Directors with all aspects of recruiting, on boarding, curriculum, scheduling evaluation, graduation and maintaining all records related to training activities. Utilizes data and best practices to inform strategic initiatives to advance GME HR Functions, including but not limited to, recruitment and resident/fellow well-being. 15% - Serves as direct manager for one Administrative Assistant that provides primary program coordination to Interventional Cardiology and Adult Congenital Heart Disease programs. Completes performance evaluation on annual basis for Administrative Assistant. Oversees work completed by Administrative Assistant to ensure all deadlines set by MUSC and ACGME are met. Provides feedback to staff member.

10% - Serves as the primary contact for the program, liaising with those directly associated with the program, the Institutional GME Office, and regulatory agencies. Regularly attends all monthly program coordinator meetings, GME educational offerings, and GMEC. Participates in GME program reviews and serves on a GMEC subcommittee to assist with developing and implementing best practices. Actively participates at a national level in GME and participates in scholarly activity. Develops processes and procedures to ensure program and resident/fellow compliance. Oversees strategic implementation of programmatic priorities.

10% - Distributes monthly evaluation on program/ fellows/ interns/faculty/elective rotations through E-value. Enter results into Excel and communicate results monthly to the Fellowship Program Directors. Also responsible for distribution of quarterly clinical rotation evaluations to fellows/faculty. Save evaluations for the division’s records and submit as scheduled to the Fellowship Program Director, Division Chief, Section Chief and/or Administrator. Also responsible for distribution of quarterly clinical rotation evaluations to fellows/faculty.

10% - Manage application database. Distribute applicant’s information to appropriate physician as directed by Fellowship Director. Coordinate Fellowship interview days and compose all necessary correspondence for follow-up. Ensure platforms for interviewing and evaluating are working adequately. Communicate with faculty, staff, and candidates on tech details for the day. Ensure interview days are orderly and informative.  Provides guidance for resident/fellow recruitment, credentialing, and onboarding to maintain compliance with regulatory bodies and hospital policies. Upon entry into program, manage the support and orientation of the new hire activities for these candidates. Assists with arranging Fellowship Recruitment Days, including occasional weekends.

10% - Oversee/manage rotation schedule of fellows, in collaboration with Administrative Assistant and Administrative Coordinator II within Division. Ensure that monthly call schedule changes for fellows are made by Administrative Assistant, including call schedule changes to Simon on call system and Amion and maintain current schedules. Ensure that any fellow time off, or changes to schedule, are appropriately made in alignment with HR policies.  Tracks fellowship program spending to ensure that expenses do not exceed budget set by Division Administrator for fiscal year. Establishes best operational practices and develops budget requests to support new initiatives. Update websites (MUSC website, ACGME, ABIM, Evalue, ERAS, ACC) and  maintain social media accounts (Twitter, Instagram), in collaboration with DOM. Provide Verification letter as requested for current fellows as needed. Provide verification of completion for former fellows.

5% - Coordinate all necessary arrangements for the fellows such as conferences, small groups, initial meetings at the start of the fiscal year. Submit reimbursement requests with appropriate from fellows and certain faculty from conferences. Organize and follow through with Wellness events.
