Requirements
  • A high school diploma or equivalent combination of education and experience is required.
  • Five years of experience in general office or clerical work are required.
  • Knowledge of word processing, spreadsheet, and database applications is required.
  • Ability to multitask and work cooperatively with others.
  • Ability to work in a high-stress environment.
  • Ability to work with sensitive information and maintain confidentiality.
  • Ability to work independently once given a project.
  • This position is security sensitive and requires a criminal history investigation.

Responsibilities
  • Coordinate daily office support activities and administrative interactions.
  • Assist with daily workflow coordination and resolution of complex, highly sensitive, and confidential matters.
  • Coordinate maintenance of files, records, office supplies, and equipment.
  • Maintain office supply inventory and order office supplies as needed.
  • Coordinate departmental staff meetings, manage calendars for room reservations, and order business meals as necessary.
  • Maintain meeting logs, take and publish meeting notes, and assist with scheduling meetings and guest speakers.
  • Organize information and materials for distribution.
  • Answer the Environmental Health & Safety main line and direct phone calls.
  • Act as the point of contact for internal and external clients.
  • Distribute mail.
  • Respond to departmental personnel and customer inquiries via email.
  • Provide general support to visitors.
  • Gather information from emergency response phone calls during normal business hours for the on-call team.
  • Create invoices or requisitions for review by the Department of Finance for Operations.
  • Maintain fiscal and administrative records.
  • Provide travel support using gas and travel cards.
  • Serve as backup support for Environmental Health & Safety finance and operations tasks.
  • Assist with administration of contracts and summary reports.
  • Compose correspondence.
  • Assist with administration of a unit, program, or project.
  • Maintain work anniversary and birthday databases.
  • Interact with Information Technology to update the internal directory.
  • Assist with coordinating student worker tasks.
  • Make recommendations for process improvements, administrative changes, or new initiatives.
