Requirements

Responsibilities
  • Meeting with internal stakeholders to collaborate on event needs, goals, and success metrics. Establish clear roles and responsibilities. Enable attending staff with reports, event briefs, run of shows, staff meetings and other resources to ensure they’re set up for success.
  • Developing event plans including timelines, schedules and task assignments. This involves coordinating with vendors, venues, and other service providers.
  • Overseeing the event set-up, execution and tear-down to ensure everything runs according to plan, gracefully handling any issues that may arise, and managing the event staff.
  • Develop and manage event budgets and vendor invoicing, ensuring all events are delivered within financial constraints.
  • Ensure compliance with insurance, legal, health and safety regulations.
  • Support the VP, Production with tasks associated with logistics before, during and after events including travel and hotel accommodations, ground transportation, catering contracts, facilities management and insurance requirements.
  • Represent and deliver service excellence with program participants. Ensure their needs are anticipated and executed properly.
  • Review and create events timeline and work with stakeholders to ensure program preparations are completed on time and all event staff are informed changes and event development in the event lead up.
