Requirements
  • Bachelor's degree required
  • At least 3 years of administrative experience supporting a senior executive in entertainment Business Affairs, preferably in a fast-paced, dynamic environment
  • Ability to manage and track multiple high-priority tasks at once without letting things fall through the cracks - adept at prioritizing efficiently, managing time well, anticipating needs, meeting deadlines, and executing with precision and follow-through
  • Excellent interpersonal skills with the ability to interface effectively with team members, senior management, high-level executives, and talent representatives (and/or their offices)
  • Excellent written, verbal, and telephone skills
  • High proficiency with MS Office and Google Suites (including Word, Excel, Outlook, and Google Docs)
  • Highly self-motivated, proactive, quick-thinking, flexible, adaptable, collaborative, and resourceful, with excellent common sense and judgment
  • Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information)
  • Ability to give, receive, and implement feedback constructively
  • Enthusiasm for the entertainment industry and knowledge of landscape (e.g. agencies, studios, producers, talent law firms; industry concepts, customs, and practices)
Responsibilities
  • Maintain consistent awareness of the President’s priorities and strategize schedules and communications accordingly
  • Oversee President’s scheduling/calendar, coordinate external and internal meetings, events, and appointments (including arranging physical and/or virtual conference details, create agendas and materials, etc.)
  • Handle other day-to-day tasks like email distributions, updating contact information, managing expense reports, note-taking, filing, ordering of supplies, etc.
  • Perform meeting/event-related tasks (such as preparing agendas, identifying next steps, maintaining status reports, and communicating out as needed)
  • Manage heavy call and email volume/screening, update call log
  • Disseminate team communications (verbal and written)
  • Create deal memo and other form/record-keeping templates and draft such documents
  • Prepare correspondence, reports, reference materials, light content-related research, and other documents while upholding the utmost discretion and confidentiality
  • Organize and update shared databases and electronic filing systems
  • Arrange detailed travel plans/bookings and itineraries as necessary
  • Work cross-functionally with colleagues in various business units and communicate and collaborate effectively with internal and external stakeholders
  • Read and digest important content-related documents and discern, summarize, and/or annotate critical data/information
  • Other administrative duties, projects, and workflows as required
  • Serve as a representation of the President and Skydance to external parties, including in relation to transmitting correspondence/communication, welcoming guests, etc.; represent Skydance with diplomacy, sensibility, and thoughtfulness
