Requirements
  • A high school diploma or equivalent is required.
  • At least 2 years of proven customer-service experience in a healthcare setting is required.
  • At least 2 years of experience working with software systems including shared calendars, professional email, document creation and editing tools, and an electronic medical record system in a healthcare setting is required.

Responsibilities
  • Coordinate all administrative activities of the clinic, including training and supervision of administrative staff, designing and maintaining front-office processes, delivering customer service, and providing day-to-day operational support for providers.
  • Recruit, train, supervise, and evaluate all administrative staff, including the front-desk team.
  • Provide ongoing coaching, real-time feedback, and support to promote customer service and operational consistency.
  • Coordinate schedules for providers and administrative staff, including paid time-off requests, last-minute absences, and coverage planning.
  • Spend approximately one hour per day at the front desk observing workflows, identifying issues, and directly supporting staff.
  • Manage timesheets for front-desk and other administrative staff, ensuring accurate and timely submission.
  • Oversee all non-medical patient interactions and ensure that administrative staff provide professional, courteous, and efficient service.
  • Train and monitor staff to ensure patient satisfaction and adherence to customer-service standards.
  • Collect, track, and respond to customer-service feedback, including compliments and complaints.
  • Respond to patient compliments and complaints in person, address concerns promptly, and escalate them as needed.
  • Ensure patient communications, including phone, email, portal messages, in-person inquiries, intakes, and discharge from practice, are directed to the appropriate person and addressed promptly.
  • Support medical providers with emergent administrative needs, including urgent scheduling changes, front-desk coordination, and paperwork flow.
  • Coordinate administrative activities between providers and staff to support efficient clinic operations.
  • Work with providers and leadership to identify administrative barriers to care and propose practical solutions.
  • Perform non-invasive medical procedures such as electrocardiograms, urine drug screens, attention-deficit/hyperactivity-disorder procedures, and transcranial magnetic stimulation procedures when trained and required.
  • Design, maintain, and continually improve administrative workflows and front-office processes.
  • Communicate with the executive and operations team regarding organizational concerns, trends, and improvement suggestions.
  • Maintain organized and accessible digital files of paperwork, forms, and related documents on shared servers.
  • Manage employee onboarding logistics at the site, including updating human-resources and administrative files; coordinating equipment and access; supporting Health Insurance Portability and Accountability Act and required-training logistics; and ordering business cards and other role-related materials.
  • Assist with billing and collections processes in collaboration with billing specialists and Revenue Cycle staff.
  • Support accurate front-desk payment collection, reconciliation, and basic reporting.
  • Manage office-supply budgets and expense control for departmental supplies and local retention or engagement activities.
  • Oversee retail operations when applicable, including inventory and basic sales reports.
  • Coordinate with vendors, information-technology support, pharmacies, building maintenance, and other external partners to maintain smooth operations.
  • Manage office supplies and place orders within budget and organizational guidelines.
  • Ensure the office environment, reception area, and shared spaces are clean, professional, and welcoming.
  • Organize staff activities such as happy hours, monthly birthday celebrations, and other engagement events.
Desired Qualifications
  • A college degree in Healthcare Administration, Business, or a related field is preferred.
