Requirements
  • An Associate’s degree in Business or a related field and/or 1–2 years of equivalent education and experience is required.
  • A current Michigan Licensed Practical Nurse license, Medical Assistant registration or certification, or Certified Professional Coder credential is preferred and must be valid and in good standing in Michigan.
  • A skill level encompassing all clerical aspects of practice management is required.
  • Demonstrated ability to work with and lead a variety of people is required.
  • Demonstrated independent decision-making ability and the ability to work with customers in challenging situations are required.
  • Knowledge of computerized systems, including word-processing, spreadsheets, and healthcare-based practice management systems, is required.
  • The ability to read, interpret, and analyze data from various computer systems is required.
  • Advanced knowledge of ICD-9 and Current Procedural Terminology coding and insurance billing is required.
  • Excellent personal computer skills are required.
  • The ability to establish effective working relationships with office staff and employees in a team environment is required.
  • The ability to maintain positive rapport with all levels of leadership and influential healthcare partners, including providers and the community, is required.
  • The ability to maintain confidentiality and use tact when handling sensitive matters is required.

Responsibilities
  • Coordinate and supervise clerical support staff and their functions for the practice.
  • Support providers with clerical duties and support the Practice Manager by providing day-to-day continuity of leadership.
  • Serve as a role model, mentor, coach, and resource person to staff to maintain practice standards and encourage a team environment.
  • Assist the Practice Manager in attracting, developing, maintaining, and retraining qualified staff members.
  • Assist with hiring, orientation, monitoring and evaluating performance, problem solving, employee counseling, staffing, and payroll.
  • Resolve issues concerning day-to-day office operations, including scheduling, registration, billing, and coding.
  • Maintain confidentiality.
  • Serve as a contact for internal and external customers.
  • Create an environment that fosters positive customer service and meets quality standards.
  • Implement new processes and monitor ongoing processes.
  • Coordinate day-to-day clerical practice operations.
  • Supervise practice clerical staff.
  • Provide education and training to practice clerical staff.
  • Participate in the creation, review, and administration of policies and procedures and ensure that practice clerical staff follow policies, procedures, and guidelines.
  • Participate in employment functions, including hiring, orientation, and corrective action.
  • Supervise the clerical, billing, payment collection, and coding functions of the practice.
  • Coordinate staff schedules, personnel-policy issues, office supplies, the phone system, the practice management system, property security and maintenance, and meeting scheduling in coordination with the Practice Manager.
  • Resolve patient complaints in a diplomatic and timely manner.
  • Provide coverage for clerical staff and perform other duties as assigned.
