Requirements
  • A high school diploma or equivalent is required.
  • A state criminal background check and, if applicable, a federal background check are required for regulated areas.
  • The ability to sit for extended periods is required.
  • The employee must be able to function without lip reading; hearing aids are permitted.
  • Corrected visual acuity sufficient to see distant and near objects and read small print is required.
  • Strong written and verbal communication skills are required.

Responsibilities
  • Establish and monitor each surgeon’s detailed calendar and use it with the operating-room schedule to schedule cases promptly and optimize operating-room time.
  • Monitor and review procedure lengths for specific surgeons to optimize operating-room utilization.
  • When procedures are canceled, pull future cases or appointments forward to keep the procedure schedule full, filling gaps with patients who require only the procedure.
  • Assist with scheduling urgent and emergent surgeries.
  • Coordinate and schedule testing required before surgery.
  • Maintain an up-to-date queue of tests ordered by physicians in EPIC and gather ancillary testing forms when necessary.
  • Communicate impending-surgery information to patients and their families, send detailed instruction letters and appointment cards, and copy referring providers.
  • Call patients with appointment reminders and obtain confirmation of their intent to keep appointments.
  • Serve as a contact for patients’ future questions or concerns.
  • Confirm patient procedures within the suite for clinical staff.
  • Maintain inventory of patient instructions and educational materials related to ancillary testing.
  • Coordinate patient care with clinics, pre-admission testing, and clinical-enterprise staff to accommodate procedure requests.
  • Obtain telephone consent and coordinate care for Department of Health and Human Resources patients.
  • Scan legal documents into the EPIC system.
  • Arrange pre-certification with third-party payers when required.
  • Complete missing information and provide referring clinical staff with request forms supporting determinations of medical procedure, treatment necessity, and follow-up.
  • Refer patients needing financial assistance to social services and financial counselors.
  • Maintain records of cases performed, including cases involving resident participation.
  • Update the DEPOT weekly with case information and scheduling issues.
Desired Qualifications
  • One year of medical-office experience with scheduling responsibilities is preferred.
