Requirements
  • A Bachelor's degree or equivalent experience is required.
  • Two to five years of experience in operations management or sales is required.
  • Prior management of a team is required.
  • Working knowledge of laptop or desktop personal computers is required.
  • Proficiency in Microsoft Suite, including Word and Excel, is required.
  • Proficiency in G Suite, including Gmail, Drive, Docs, Sheets, and Google Meet, is required.
  • The role requires the ability to follow written instructions, use computers and computer software programs, and communicate expressively and receptively.

Responsibilities
  • Develop and manage schedules for Behavior Technicians, ensuring optimal coverage and adherence to company policies and guidelines.
  • Coordinate and oversee client assessment scheduling, including assisting with reassessments when necessary.
  • Align families, Behavior Technicians, and Supervising Clinicians to start new cases and confirm authorization.
  • Coordinate staffing activities, including permanent staff allocation, substitution arrangements, and assigning multiple Behavior Technicians to clients as needed.
  • Confirm schedules weekly with Behavior Technicians and families.
  • Coordinate training and compliance needs for Behavior Technicians.
  • Monitor Behavior Technician attendance and professionalism in consultation with the Area Operations Director and implement measures to maintain performance standards.
  • Monitor and analyze center metrics to assess performance and identify areas for improvement.
  • Ensure adequate leadership coverage during all operating hours and address urgent issues.
  • Coordinate client care at clinical sites through effective communication and collaboration with healthcare providers.
  • Participate in internal marketing initiatives, recognition programs, and Behavior Technician survey feedback.
  • Address and resolve paper document management issues and implement solutions to improve accuracy and productivity.
  • Schedule and manage non-billable Behavior Technician hours and utilization to stay within budget.
  • Identify staffing needs, interview candidates, issue disciplinary action, and complete offboarding.
  • Partner with the Director of Clinical Services to drive growth, support clinical outcomes, and align service delivery with Centria's clinical model and philosophy.
  • Facilitate communication and handoff processes between the Onboarding and Intake Teams and the Operations Team for service transition and initiation.
  • Collaborate with the Information Technology Department to resolve operational information technology issues.
  • Review and coordinate conversations regarding client insurance changes and case-status changes, and confirm authorizations in a timely manner.
  • Coordinate community outreach activities to promote services, establish partnerships, and generate leads.
  • Develop strategies and initiatives to improve client and Behavior Technician retention rates.
  • Maintain ongoing engagement with clients before services begin and while services are on hold, addressing needs and concerns and maintaining customer satisfaction.
  • Enforce center policies and procedures, accreditation standards, and training requirements, addressing violations and implementing corrective actions.
  • Ensure adherence to medication administration protocols, coordinate with healthcare professionals, and maintain accurate records.
  • Ensure compliance with the dormant policy, manage team-member offboarding, and oversee collection of iPads from departing team members.
  • Oversee payroll and billing processes for accuracy, timeliness, and regulatory compliance.
  • Own the profit and loss statement, monitor financial performance, and implement improvement strategies.
  • Provide administrative triage and one-call resolution for authorization and coordination of benefits issues.
  • Maintain a clean and organized center or academy workspace and address facility issues promptly.
  • Conduct center tours for prospective clients and present the organization's services and facilities.
  • Serve as a liaison with facility management.
  • Maintain a safe working environment by enforcing safety protocols and emergency preparedness plans.
  • Ensure compliance with Occupational Safety and Health Administration requirements.
  • Ensure compliance with labor law poster requirements.
  • Oversee purchasing of operational supplies for cost-effectiveness and compliance with procurement policies.
  • Manage iPad assets, including ordering, inventory management, and maintenance.
Desired Qualifications
  • A Master's degree is preferred.
  • Prior profit and loss experience is preferred.
