The Program Administrator oversees daily operations of the unit, assigned programs or department administration, ensuring efficient attainment of goals. Oversees academic program administration if serving in an academic department. Monitors and manages events, projects, supplies and budgets. Independently performs a broad range of administrative duties, including a wide variety of non-routine tasks, requiring judgment and discretion in both routine and non-routine situations.
Job Description:
Manages unit, programs or department administrative office. May manage office hours, meetings, projects and committees. Responsible for overseeing logistical needs of the center’s flagship programs, responding to daily email inquiries, from inside and outside the unit or department, while ensuring that general office needs are fulfilled (i.e. ordering supplies, filing). 35%
Assist in the onboarding of research fellows and visiting scholars. Establishes regular office hours and maintains contacts with students, answering requests at that time. 30%
Schedules and coordinates unit, programs or departmental events, including but not limited to, students’ social events, speakers’ series, movie screenings, and program lunch series. Independently develops related communication materials; publicizes events. 15%
Works with senior management to plan, implement, and evaluate orientation, on campus events, and webinars . 10%
Job Requirements:
Bachelor’s degree required
1-3 years of relevant experience required.
Excellent oral and written communication to effectively coordinate across offices and groups.
Outstanding organizational ability and meticulous attention to details to accurately keep track of many moving parts.
Excellent customer service and people skills required
Problem solver who can think ahead, anticipate challenges, and find creative and effective solutions to unusual situations.
Ability to juggle multiple tasks, allocating and optimizing resources and timelines to manage a task from start to finish and keep everyone appropriately informed.
Impeccable interpersonal skills with a collaborative work style to create strong working relationships with departments and offices across Brandeis.
