Requirements
  • Education: Bachelors degree in a related field is required.

  • Can work independently and make decisions about administrative processes.
  • This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.
Responsibilities
  • Manages daily office operations, including organizing services like bookkeeping, records management, and facilities.
  • Serves as a primary liaison between departments to ensure smooth operations.
  • Prepares, drafts, and initiates a variety of documents and reports.
  • Manages filing systems and maintains records.
  • Handles all scheduling for appointments and meetings, including coordinating travel arrangements.
  • Drafts agendas and meeting minutes.
  • Prepares and submits requests for purchases, reimbursements, and other forms.
  • Researches, evaluates, and recommends office supplies and equipment purchases to minimize costs and meet department's operational needs.
  • Screens and directs calls, visitors, and emails, resolving inquiries as needed.
  • Acts as the first point of contact for departmental policy and procedure questions.
  • Provides human resources support for department(s) or designated area(s) and acts as departmental liaison to Payroll, Human Resources or other Institution offices.
  • Reviews work for exactness, neatness, and conformance to policies.
  • Develops and implements administrative procedures and work standards to improve efficiency and workflow.
  • Leads or assists with special projects and initiatives as assigned by senior management.
  • Monitors department budgets and financial data, reviewing and reconciling reports to ensure accuracy.
  • Ensure that departmental operations and administrative processes comply with relevant laws, regulations, and institutional policies.
  • Performs all other duties as assigned.
