Requirements
  • An Associate's degree and three years of related work experience are required, or an equivalent combination of education and experience.
  • Experience in an Emergency Department setting is preferred.
  • One year in a position demonstrating the ability to work with minimum supervision and direct an office operation is preferred.
  • Medical terminology experience is preferred.
  • Experience with PICIS and Flowcast is preferred.
  • The ability to type accurately is preferred.
  • Skills related to achieving customer satisfaction are preferred.
  • The ability to deal calmly but efficiently with medical professionals during life-threatening situations is preferred.
  • The ability to maintain a strong customer service approach at all times and handle diverse personalities is preferred.
Responsibilities
  • Ensure smooth and efficient patient care flow through Perioperative Services and the Operating Room.
  • Facilitate department workflow by supporting Anesthesia clinical coordinators, charge nurses, surgeons, faculty, and staff.
  • Prioritize critical patient cases and communicate emergency Operating Room changes and fluctuations.
  • Serve as the primary liaison between staff and faculty in and out of the Operating Room and ectopic surgical locations.
  • Maintain the White Board in collaboration with the Anesthesia Clinical Coordinator and Charge Nurse, with appropriate follow-through.
  • Triage patient calls, assess clinical urgency, determine appropriate action, and communicate changes to clinical staff and faculty.
  • Maintain the manual Operating Room schedule as a backup during electrical or computer failure.
  • Assess and triage Operating Room calls, pages, and STAT calls; book emergent cases; and coordinate faculty and staff for off-shifts and next-day cases.
  • Initiate printing and organization of next day's patient call slips and wristbands.
  • Serve as the point person for complaints from patients, faculty, nursing, and anesthesiology.
  • Answer incoming calls in the communications center and route them appropriately.
  • Support departmental activities by monitoring inventory, ordering supplies, managing stock forms and supplies, and handling requests from clinical staff.
  • Coordinate daily efforts to edit and correct registration and billing errors throughout the registration process.
  • Identify ways to reduce follow-up, repetitive, or corrective work.
  • Use the electronic medical record and scheduling software programs to facilitate workflow.
  • Manage the patient tracking system and ensure correct patient locations.
  • Provide training to staff on department-specific work as a designated preceptor, including department and hospital orientation, registration, and customer service.
  • Act as an information resource for departmental staff regarding registration and workflow activities.
  • Attend department education programs as directed and educate other staff.
  • Perform other patient-focused tasks.
  • Assign patient transports and disseminate tasks to PSAs.
  • Monitor the pneumatic tube station and distribute its contents.
  • Distribute scrubs, witness consent signatures, fax charts, and pull charts for quality assurance audits or patient-care follow-up.
  • Coordinate transportation for discharged or transferred patients as needed.
  • Perform other duties as assigned.
