Requirements
  • One to three years of demonstrated experience as a front desk manager or supervisor.
  • Satisfactory combination of education and experience.

Responsibilities
  • Establish and maintain positive relationships with patients, visitors, and employees while interacting professionally and courteously.
  • Participate in the assigned department’s performance and quality improvement activities, including data collection, analysis, implementation of corrective activities, CQI teams, and compliance with performance, safety, security, risk management, infection control, and patient service policies.
  • Supervise registration staff and ensure accurate registration data entry, including demographics, clinic codes, and financial eligibility or service verification; perform registration audits and provide written and verbal feedback.
  • Supervise registration staff and ensure appropriate chart assembly, including placement of standard forms and ancillary reports according to approved formats; order new forms as necessary.
  • Ensure adequate front desk and telephone coverage by scheduling staff start times and breaks; track abuse of time and provide progressive discipline when necessary.
  • Assist the Practice Administrator with overall practice operations and exercise appropriate judgment when the administrator is unavailable.
  • Analyze patient-flow aspects of practice operations, identify deficiencies with practice leadership, and develop and implement corrective strategies.
  • Ensure patient encounters and bills are closed within seven business days, correct errors, resubmit encounters or bills, coordinate registration-related financial management activities, and communicate unusual trends.
  • Ensure collection of co-pays and co-insurance at the point of service and comply with the Charity Care Policy.
  • Issue MetroCards and make deposits or reconciliations according to schedule.
  • Prepare and submit check requests with required signatures, account numbers, departments, payment reasons, or invoices.
  • Assist the Medical Director in receiving and resolving patient complaints and coordinate with hospital and institute systems.
  • Assist with hiring, training, supervision, scheduling, and evaluation of new employees; conduct interviews for future administrative support staff.
  • Prepare and submit Kronos payroll for the entire staff.
  • Prepare annual evaluations for registration and clerical support staff.
  • Conduct retraining for employees who receive verbal or written warnings to support continued department operations.
  • Conduct telephone conversations and meetings with Human Resources, Nursing, Accounts Payable, Finance, Administration, and other departments to maintain department operations.
  • Maintain and periodically reconcile cash collections and petty cash funds.
  • Oversee secure transfer of cash to designated funds in the Grants Management Department or Hospital Finance Office.
Desired Qualifications
  • An Associate of Applied Science degree in Hospital Administration or a related field is preferred.
