Requirements
  • A High School Diploma or GED.
  • Proven experience handling multiple duties and completing assigned tasks accurately and on time in a demanding environment with tight time constraints, heavy volumes, and multiple demands.
  • Proven work examples of maintaining a high degree of accuracy with high volumes of work and/or multiple duties.
  • Demonstrated ability to learn new product features and concepts and apply this knowledge on the job in a timely and effective manner.
  • Excellent verbal and written communication skills, including the ability to convey information clearly, prepare correspondence, reports, and forms using prescribed formats, and follow proper punctuation, diction, and style.
  • Proficiency in Microsoft Office products, especially Excel or other spreadsheet applications.
  • Completion of a FINRA background check, including fingerprinting, upon hire.
  • Ability to remain stationary for long periods while working at a desk, on a computer, with standard office equipment, or in meetings.
  • Ability to verbally communicate and exchange accurate information with customers and associates regularly.
  • Visual acuity to read and interpret correspondence, procedures, reports, forms, and electronic documents; inspect small defects or parts; operate machinery and measurement devices; and determine accuracy, neatness, and thoroughness.
  • Ability to prepare written correspondence, reports, and forms using prescribed formats and conforming to punctuation, grammar, diction, and style requirements.
  • Ability to apply logical thinking to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to perform substantial continuous movement of the wrists, hands, and fingers for computer work.
  • Ability to work extended hours during peak workloads or special projects and events.
Responsibilities
  • Monitor the completion and accuracy of the Resolution Services vendor and coordinate and assist with mutual fund, separately managed account, and exchange-traded fund trade and asset reconciliation.
  • Correct territory and/or broker-dealer affiliation for transactions within defined parameters to ensure credit to the proper submitting firm and wholesaler team.
  • Manage the Perspective Potential Link queue for Firm, Office, and Rep records synchronized between Salespage and Salesforce customer relationship management tools, ensuring changes are applied or rejected appropriately.
  • Manage the Salesforce Error queue with technical resources to correct synchronization issues between Salespage and Salesforce.
  • Research, validate, and update broker-dealer changes submitted by external distribution partners and internal sales team members through service tickets.
  • Monitor broker-dealer change requests sent to the Transfer Agent and Resolution Services vendor to ensure consistency across customer relationship management tools.
  • Review newly created house accounts and merged firms and offices for proper registration and territory alignment.
  • Pull sales and asset data for specialized reports and send them to the appropriate internal contact.
  • Review new transaction codes received on settled trades in the customer relationship management system and determine the appropriate coding using predetermined similarly mapped transactions.
  • Respond to initial requests for standard broker-dealer Selling Agreements by coordinating firm-level review with Touchstone Compliance.
  • Send approved Selling Agreement documentation to external parties, track its status, return, and execution, and communicate agreement status to internal and external customers and service providers.
  • Ensure new firms are accurately set up in required systems once Selling Agreements are executed.
  • Initiate ad hoc regulatory fulfillment for shareholder-related literature orders received through the Touchstone website.
  • Manage regulatory fulfillment with print vendors and the primary Transfer Agent for routine and non-routine Securities and Exchange Commission filings, including generating mailing and electronic-delivery files for applicable shareholder and advisor populations.
  • Forward misdirected hardcopy shareholder mail to the Transfer Agent for processing, scan and email items that do not require originals to the imaging system, overnight originals or checks, and log items sent.
  • Review and coordinate monthly 401(k) trade moves and required reporting for proper wholesaler compensation, and submit details to Accounting.
  • Identify process improvement opportunities and participate in procedure development and revisions.
  • Perform other duties as assigned.
  • Comply with all policies and standards.
Desired Qualifications
  • A Bachelor's Degree.
  • Mutual fund and/or exchange-traded fund back-office experience.
  • Demonstrated knowledge of Salespage and/or Salesforce customer relationship management tools or comparable software.
  • Working knowledge of database tools and Tableau with the ability to create and run queries.
  • FINRA SIE and Series 99.
