Responsibilities
  • Greet and assist patients, schedule appointments, and maintain patient records and accounts.
  • Welcome patients and visitors in person or by telephone, and answer or refer inquiries.
  • Schedule appointments to optimize patient satisfaction, provider time, and treatment-room utilization.
  • Keep patient appointments on schedule by notifying clinical staff of arrivals, reviewing service delivery against the schedule, and reporting delays.
  • Answer patient questions, anticipate anxieties, and maintain the reception area.
  • File and retrieve patient records to ensure treatment information is available.
  • Obtain, record, and update patient personal and financial information.
  • Record and collect patient co-pays and account balances.
  • Coordinate with insurance companies, referring medical offices, and pathology laboratories.
  • Maintain confidentiality of medical, personal, and financial information.
  • Follow policies and procedures and report needed operational changes.
  • Maintain knowledge of assigned medical practices, provider and clinic schedules, patient scheduling preferences, and available services.
  • Perform duties independently and collaboratively, seeking assistance from peers or supervisors as needed.
  • Obtain insurance cards, driver’s licenses, consent-to-treat forms, releases of information, and other required paperwork from patients.
  • Manage patient check-in, verify appointments through the electronic health record practice-management system, and explain the next steps in appointment flow.
  • Enter registration information accurately and consistently according to established guidelines.
  • Handle patients and others tactfully, use de-escalation techniques, and seek management assistance when appropriate.
