Responsibilities
  • Manage logistics for reserving workspaces for meetings at or outside headquarters.
  • Organize internal events, including preparation, coordination, and logistics.
  • Manage recurring lunches, including ordering, tracking, receiving, and coordinating with teams.
  • Process quotations by receiving, updating, tracking, and checking their consistency with delivered services.
  • Check invoice compliance before forwarding invoices to accounting.
  • Contribute to cost optimization by analyzing and negotiating offers and contracts with service providers and partners.
  • Supervise headquarters' general services, including supplies, maintenance, service providers, and equipment.
  • Manage the vehicle fleet in collaboration with FleetGestion.
  • Manage incoming and outgoing mail, including receipt, distribution, and dispatch.
  • Organize business travel, including reservations and logistics.
  • Run errands and make occasional trips according to internal needs.
  • Welcome visitors, speakers, couriers, and external service providers.
  • Handle unforeseen situations, including emergencies, cancellations, and last-minute issues.
