Requirements
  • Bachelor’s degree preferred but not mandatory, equivalent experience considered
  • A minimum of 8 years of proven experience in a similar role
  • High level of professionalism, discretion, experience in handling confidential and sensitive information
  • Able to effectively manage complex situations with tight or urgent deadlines and tolerant of ambiguity
  • Work diligently with a variety of stakeholders, both internal and external, and have a positive, prompt approach to organizing and following up on priorities and activities
  • Excellent written and oral communication and presentation skills
  • Ability to take initiative, anticipate needs and demonstrate proactivity in decision-making and carrying out activities
  • Excellent organizational skills
  • Availability outside normal working hours for urgent requests
  • Excellent command of the Microsoft Office suite
Responsibilities
  • Coordinate and manage executive schedules, including arranging appointments, meetings, and travel itineraries
  • Ensure expense accounts are coordinate and submitted in a timely manner; Plan, coordinate and prepare team meetings and recurring or ad hoc meetings
  • Organize meetings, book rooms, send videoconference invitations, etc
  • Act as a trusted liaison with the management team, ensuring confidentiality and professionalism at all times
  • Assist in coordinating special projects and initiatives as assigned by executives, ensuring deadlines and deliverables are met
  • Prepare certain administrative and operational reports
  • Collaborate on several other related and position-related initiatives
  • Coordinate calls and messages for the executive member, process and distribute incoming postal and electronic mail and other documents, and coordinate the flow of information
