Requirements
  • An associate degree or equivalent experience, plus two additional years of related experience or a proven track record in occupancy, leasing, or an Assistant Property Manager role.
  • Experience with site-based affordable housing programs such as Low-Income Housing Tax Credit and Section 8 is strongly preferred where applicable.
  • Strong interpersonal and verbal communication skills.
  • Ability to work independently, take initiative, multitask, and prioritize efficiently.
  • Ability to determine the nature and priority of calls and issues.
  • Leadership and delegation skills, accountability, integrity, adaptability, organization, attention to detail, and basic math proficiency.
  • Previous customer service experience.
  • Ability to use and communicate through email.
  • Strong computer skills, including Microsoft Office, Outlook, and property management software; Yardi is strongly preferred.
  • Successful completion of a background check and drug screening.
  • A valid driver's license and clean driving record.
Responsibilities
  • Support the Property Manager and site staff in achieving maximum occupancy and collections at the property.
  • Coordinate and process compliance and financial administration, leasing, resident retention, maintenance, and safety activities.
  • Maintain a clean reception area and professional surroundings.
  • Answer and direct incoming calls and ensure appropriate follow-up when needed.
  • Address resident concerns and requests promptly and communicate the resulting action or inaction.
  • Greet prospective residents and visitors, explain property benefits, interview prospective residents, assess their needs and qualifications, and enter their information into the property data system.
  • Schedule application intakes and interviews; prepare, process, and distribute applications.
  • Show apartments and explain their size, layout, lease terms, facilities, and available services.
  • Qualify prospective residents according to property program requirements and the tenant selection plan.
  • Maintain an applicant waiting list to support occupancy goals.
  • Calculate rent according to property procedures or the rent schedule.
  • Complete lease forms and documents and collect applicable reservation deposits, security deposits, and initial or prorated rent.
  • Conduct marketing outreach with neighborhood groups, local employers, community organizations, and other prospecting sources to convert leads into rentals.
  • Conduct marketing surveys, review traffic reports, and share trends with the Property Manager.
  • Assist with resident retention initiatives and property-issued communications and notices.
  • Prepare and execute lease renewals and process interim recertifications, annual recertifications, and other required documentation.
  • Secure applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and certifications and process move-ins, move-outs, and certifications promptly.
  • Manage collections, deposits, rent and fee postings, delinquencies, late notices, and assigned evictions.
  • Manage and ensure receipt of applicable Housing Assistance Payments and special claims.
  • Notify management of and process necessary legal action for resident nonpayment or noncompliance.
  • Process work orders, certifications, deposits, and resident documentation in the property management software.
  • Inspect apartments, models, and community amenities before showings to ensure compliance with quality standards, and report maintenance or property needs.
  • Submit work orders and service requests, communicate with maintenance, and follow up.
  • Assist with monitoring service contractors to ensure contracted duties are completed properly.
  • Assist in achieving property financial goals.
  • Maintain property rules and regulations in accordance with property programs, standard operating procedures, and applicable laws.
  • Protect the confidentiality of residents, applicants, employees, and company information.
  • Act as the person in charge when the Property Manager is absent.
Desired Qualifications
  • Certified Occupancy Specialist and/or Certified Professional of Occupancy certification.
  • Multilingual skills, depending on property needs.
  • Yardi property management software experience.
