Requirements
  • Two or more years of relevant professional work experience in a higher education, nonprofit, or fundraising environment for the Senior Development Program Specialist level, or five or more years for the Development Program Manager level.
  • Excellent verbal and written communication skills and strong attention to detail.
  • Ability to judge the relative importance of issues and act independently to address them, applying the appropriate level of urgency to achieve results.
  • Self-motivation, a proactive nature, persistence, flexibility, and dependability.
  • Ability to work effectively with a team in an entrepreneurial environment and interact well with internal and external constituents.
  • Ability to remain calm under pressure, prioritize and manage multiple competing tasks, and maintain discretion, tact, poise, professionalism, and diplomacy.
  • High proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Responsibilities
  • Serve as a liaison to campus partners, including advancement and communications teams and dean's offices, and triage, negotiate, and respond to inquiries, requests, donor communication list requests, proposals, and issues.
  • Collaborate with advancement teams and dean's offices on board of visitors' meetings, commencement, tailgates, emeritus events, team meetings, printed materials, and information and data pulls.
  • Coordinate with business intelligence and research teams to compile data and information for strategic planning, donor recognition, and stewardship activities.
  • Plan, implement, and manage events designed to identify and cultivate dean's prospects and build relationships with existing donors when applicable.
  • Collaborate with directors of development on donor visits, including on-site logistics, greeting and hosting guests, and responding to miscellaneous needs.
  • Coordinate with finance, legal, development operations, campus partners, donors, and directors of development on gift legal documentation, including memoranda of agreements and pledge agreements, through signature routing and final distribution.
  • Plan, implement, manage, and evaluate strategies, initiatives, and projects that advance unit priorities, identify and cultivate prospects and donors, support solicitation and stewardship, and move projects to completion.
  • Create and implement consistent standards of practice and procedure that provide customer service to donors and campus partners.
  • Provide directors of development with materials for donor visits and document appropriate follow-up in the constituent relationship management system.
  • Work with marketing, communications, gift planning, and other teams to facilitate projects and leverage internal resources for consistent donor experiences.
  • Manage and track unit key performance indicators and support accurate data entry into the constituent relationship management system.
  • Serve as a constituent relationship management subject matter expert for the development team and interface with the Business Intelligence Service Center and development teams.
  • Assist with comprehensive donor stewardship, including gift acknowledgements, milestone thanks, scholarship and faculty award cycles, and impact reporting.
  • Review and implement new opportunities for donor stewardship and engagement with development operations leadership, directors of development, and central stewardship.
  • Coordinate fund administration and fund stewardship, including fund creation, documentation, notification, and review.
  • Respond to campus questions regarding unit gifts and funds and identify issues requiring additional review and action, including fund use and compliance.
  • Coordinate, distribute, and analyze routine gift reports.
  • Manage stewardship, fund, and constituent activities in the constituent relationship management system.
  • Maintain contact updates, donor biographic information, and other constituent management data.
  • Provide key performance indicator data to advancement teams and dean's offices for strategic review of unit-level giving.
  • Use self-service reports and collaborate with the business intelligence team to refine and customize alumni and donor lists for mailings, invitations, stewardship projects, and donor recognition.
  • Collaborate on scheduling, agenda creation, and note-taking for regular team meetings.
  • Coordinate direct mailing of solicitations, stewardship projects, announcements, and event invitations, along with advanced administrative needs when appropriate.
  • Suggest process improvements and assist with implementation.
  • Serve as a leader on the collaborative team through project management, mentoring development operations colleagues, and delegating tasks as appropriate.
Desired Qualifications
  • Bachelor's degree or an equivalent combination of education and work experience.
  • Previous experience with database reporting and constituent relationship management software.
  • Creativity and resourcefulness in identifying and adapting best practices from outstanding donor relations programs.
  • Experience designing visually appealing, brand-aligned materials using tools such as Canva.
