Responsibilities
  • Provide administrative and secretarial support to the staff of the Office of the Probate Judge, including scheduling meetings and hearings, maintaining calendars, screening and sorting daily mail, composing routine letters for a supervisor's signature, typing memos and correspondence, and making travel arrangements.
  • Open and close case files.
  • Clock in, index, and file case records.
  • Enter case information into the computerized case management system and update case files as necessary.
  • Prepare, type, copy, file, and/or transmit letters, memoranda, court orders, legal documents, notices, and other documents needed for hearings.
  • Interact with individuals and groups to provide and obtain information concerning cases processed through Probate Court.
  • Assist in scheduling hearings, schedule attorneys for hearings, and notify all interested parties.
  • Evaluate office operations and make recommendations for changes in policies and procedures to enhance office effectiveness and efficiency.
  • Research and compile data and information for reports and decision-making purposes.
  • Answer the telephone, provide information and assistance, forward calls to appropriate staff, and greet and assist office visitors.
  • Perform general clerical work, including compiling data for reports, copying and filing documents, entering and retrieving computer data, processing daily mail, and ordering office supplies.
  • Receive and respond to employee and public inquiries, concerns, and requests for assistance within the areas of responsibility.
  • Attend staff and County meetings as required.
  • Attend training, meetings, seminars, and/or workshops to enhance job knowledge and skills.
