Requirements
  • Completion of a two-year diploma in marketing, business administration, communications, or fundraising, or an equivalent combination of education and experience.
  • A minimum of two years of experience, preferably in a post-secondary educational environment, in alumni relations or marketing, or equivalent experience.
  • Experience using office productivity software, including Microsoft Word, Excel, and PowerPoint or Keynote.
  • Experience working with database software such as Microsoft Access.
  • Experience working with content management software such as Campaigner or Cascade Server.
  • Experience working with social media platforms such as LinkedIn, Twitter, and Facebook.
  • Experience working with relationship management software such as Raiser’s Edge.
  • Excellent verbal, presentation, and written communication skills.
  • Strong interpersonal, organizational, and problem-solving skills.
  • Strong public relations and customer service skills.
  • Ability to work independently and as part of a team.
  • Ability to exercise a high level of initiative and responsibility.
  • Ability to use tact and discretion when dealing with the public or settling complex requests or complaints.

Responsibilities
  • Maintain the Raiser’s Edge customer relationship management software under the direction of the Accounting Manager, including management of data, processes, and reporting.
  • Ensure the integrity, functionality, and reporting of the Raiser’s Edge and RE NXT databases.
  • Develop customized queries, reports, and donor lists using data analysis and strategic skills to support fundraising activities.
  • Perform routine database maintenance and quality-control procedures, including scheduled data cleanups, duplicate-record elimination, and global changes.
  • Produce and oversee mailing lists for direct-mail and online marketing activities.
  • Provide training and troubleshooting to site staff on Raiser’s Edge.
  • Create proposals, stewardship reports, and reporting metrics supporting department initiatives.
  • Develop and maintain the Access award-management database, including data modeling and creation of tables, queries, forms, and reports.
  • Identify, test, and implement database fixes and enhancements; maintain data dictionaries, data models, physical databases, and related systems documentation.
  • Oversee alumni data migration to Raiser’s Edge.
  • Perform data entry into Raiser’s Edge under the direction of the Manager.
  • Support projects related to the customer relationship management database.
  • Support Advancement programs, campaigns, projects, and special events while managing and prioritizing a high volume of work and requests.
  • Respond to and follow up on alumni and Foundation inquiries.
  • Build and maintain awards databases.
  • Perform financial tasks such as banking deposits, receipting, gift entry, and gift processing under direction.
  • Collaborate with the department to plan and coordinate mailouts.
  • Support the administrative needs of the awards program.
  • Support Foundation and alumni newsletters and websites.
  • Recruit and coordinate SWAP students and activities.
  • Recruit and coordinate volunteers and volunteer activities.
  • Provide information and assistance to students, faculty, staff, administrators, alumni, and other office visitors.
  • Open, sort, process, and prioritize incoming and outgoing mail and initiate appropriate action.
  • Prepare meeting agendas and packages and circulate relevant information before meetings.
  • Provide administrative support for Foundation Board meetings, including catering, boardroom setup, and minute-taking.
  • Organize, schedule, and attend departmental meetings and arrange rooms, catering, and equipment.
  • Prepare and send donor or department-chair letters and student thank-you letters or cards.
  • Maintain office equipment and stationery supplies.
  • Occasionally work evenings and weekends to attend functions and events.
