Responsibilities
  • Execute high-touch outreach campaigns by phone and personalized email to welcome incoming employees after offer acceptance.
  • Serve as the primary point of contact for new hires during pre-boarding and answer questions about scheduling, dress code, benefits deadlines, and company resources.
  • Conduct pre-Day 1 check-ins to confirm onboarding schedules and start times and help new hires prepare for their first day.
  • Troubleshoot pre-boarding issues such as technology delivery delays and documentation problems by phone.
  • Own pre-onboarding execution for incoming corporate employees and ensure screenings, verifications, and compliance paperwork are completed before Day 1.
  • Support travel coordination for new employees attending Day 1 orientation activities.
  • Coordinate with IT and Facilities to ensure equipment, system access, and workspace assignments are completed on time.
  • Manage orientation logistics, including schedules, agendas, conference rooms or virtual meeting links, and calendars for speakers and facilitators.
  • Maintain the human resources information system to keep new-hire records accurate, current, and compliant with company data policies.
  • Create new-hire orientation folders and welcome packages for each orientation session.
  • Manage welcome inventory and maintain accurate item counts.
  • Co-facilitate orientation sessions, manage live chat questions and answers, conduct facility tours, and provide requested information during presentations.
  • Arrange lunch for orientation sessions.
  • Monitor orientation agendas to ensure presenters arrive on time and follow allotted times, and coordinate agenda timing changes when needed.
  • Coordinate with hiring managers so team representatives escort new hires to their workspaces and facilitate team introductions.
Desired Qualifications
  • An Associate's or Bachelor's degree in Human Resources, Communications, or Business, in progress or completed.
  • Experience working with Workday.
  • Technical proficiency and comfort with technology.
  • Interest in learning and development or human resources as a career path.
  • Bilingual English and Spanish language skills.
