Requirements
  • Five years of administrative experience directly supporting executives.
  • A high level of professional responsibility and the ability to work collaboratively as part of an administrative team.
  • Strong organization, attention to detail, verbal communication, and written communication skills.
  • The ability to handle confidential information, including personally identifiable information, with discretion.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Must have a United States security clearance or be able to obtain one.
Responsibilities
  • Manage complex calendars for several senior leaders, including coordinating internal and external meetings and prioritizing meetings according to executive information requirements.
  • Manage meeting logistics, including pre-meeting planning, distributing read-ahead materials, executing meetings, conducting after-action analysis when appropriate, and breaking down meetings.
  • Attend senior leadership meetings to ensure proper coordination and follow-up on projects and tasks.
  • Order catering for internal meetings and reserve venues for external lunches and dinners.
  • Represent the Chief Executive Officer and senior leadership when coordinating with customers and distinguished visitors through email and phone communication.
  • Work with the Chief of Staff and Workplace Experience Manager to support companywide strategic engagements and ensure senior leaders are informed, prepared, and available.
  • Take notes, receive and handle packages, coordinate communications between the leadership team, and ensure materials are submitted in advance of events.
  • Provide backup coverage for the Chief Executive Officer's Executive Assistant, Workplace Experience Manager, and Front Office associates.
  • Provide Executive Assistant support for other executives as the company grows.
  • Manage confidential and sensitive information with professionalism and discretion.
  • Oversee and manage conference room and training room requests and bookings, resolve conflicts, and rearrange bookings when necessary.
  • Provide administrative support for corporate projects, such as the RDE tax credit, budget matrix, and performance reviews.
  • Arrange travel for senior leaders and prospective employees, including hotels, flights, and car services.
  • Provide timekeeping administrative support by adding hours daily and submitting them at the end of the week.
  • Create and process expense reports.
  • Support senior leadership onboarding activities.
  • Complete other assigned tasks.
