Requirements
  • A bachelor's degree is required, or an equivalent combination of education and experience.
  • At least one year of experience in business operations or an administrative role is required.
  • Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools such as Zoom and Box, and Adobe is required.
  • Knowledge of office procedures, database entry principles, customer service and public relations principles, mathematical principles, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, and event planning is required.
  • Ability to effectively communicate and interact with all people is required.
Responsibilities
  • Develop and implement operational procedures to improve departmental efficiency, including coordinating facilities-related projects such as laboratory and office moves, renovations, and laboratory decommissioning.
  • Coordinate annual recertifications of biosafety cabinets, chemical inventories and equipment, and equipment and space surveys.
  • Assess process-improvement opportunities in facilities operations and review recommendations with leadership.
  • Assist with hiring and onboarding employees by coordinating with department and central human resources teams, the Office of Academic Affairs, the Office of Graduate Education and Postdoctoral Affairs, and the Student Employment Office.
  • Recommend process improvements across the department's hiring processes.
  • Lead and participate in special projects, including creating, managing, and distributing departmental communications materials.
  • Draft and edit newsletters and assist with internal communications such as memos, announcements, bulletin boards, and other updates.
  • Plan, coordinate, market, and communicate departmental events, including retreats and holiday functions, and prepare event summary reports for leadership review.
  • Maintain the functionality, performance, and user experience of departmental websites by updating content, troubleshooting issues, and implementing improvements.
  • Partner with central marketing personnel and other website resources to identify website concerns and resolve problems.
  • Support department- and institute-level finance functions by developing and reviewing project budget expenditures and preparing and processing financial transactions when necessary.
  • Identify operational and financial problems and make recommendations to the supervisor.
  • Perform other assigned job duties.
Desired Qualifications
  • Intermediate knowledge of hardware and software functionality is preferred.
