Requirements

Responsibilities
  • Answer and direct calls to the office main line.
  • Sort and distribute incoming mail and process outgoing mail.
  • Assist with travel and meeting arrangements.
  • Order lunches and assist with staff and client meetings.
  • Receive and support vendors, guests, and clients by coordinating security access, parking, amenities, seating, and safety.
  • Coordinate and manage activities and events and oversee engagement and budget compliance for the Employee Engagement and Citizenship Program.
  • Keep office documentation updated, including manuals, SharePoint, and office layout and seating records.
  • Maintain office resources, including workspace, furniture, supplies, office technology equipment, and signage.
  • Oversee the duties of the Safety Coordinator.
  • Assist with office real estate closures, relocations, and renovations.
  • Perform new-hire orientation and termination processes for designated offices.
  • Prepare and submit office expense reports.
  • Review and process vendor invoices.
  • Prepare office agenda topics, attend meetings hosted by Office Leaders, and document those meetings.
  • Serve as the primary contact with building property management regarding security access, parking, and work-order requests such as heating, ventilation, air conditioning, and maintenance.
  • Provide administrative support to local Office Leadership and staff in the Tampa office and remote sites.
  • Assist Office Operations leadership with practice initiatives, corporate policies, and procedures.
  • Perform other job-related duties as assigned.
Desired Qualifications
  • A bachelor's degree is preferred.
  • Previous administrative experience within an architecture, engineering, and construction firm is preferred.
