  • A high school diploma and a minimum of 2 years of related administrative experience with a construction general contractor, including specific experience with contracts and project administration; an equivalent combination of education and experience will be considered.
Responsibilities
  • Prepare, compile required exhibits, and send subcontracts and subcontractor change orders through DocuSign.
  • Ensure subcontractor information in SPERS is complete and required licensing has been approved before sending subcontracts.
  • Evaluate and rate subcontractors’ insurance per the SPERS process in coordination with Risk Management.
  • Process subcontracts, change orders, and purchase orders within two business days of receipt.
  • Set up and maintain electronic project files.
  • File executed contracts and change orders, accurate insurance certificates, and related documentation electronically.
  • Enter and post all subcontracts and change orders correctly in CMiC, including managing holds caused by licensing or insurance non-compliance.
  • Track outstanding contracts and change orders, notify appropriate individuals of delinquent documents, and track documents through execution and return to subcontractors.
  • Coordinate owner requests for proof of liability insurance.
  • Monitor insurance certificates in myCOI and work toward achieving compliance status as quickly as possible.
  • Enter compliant insurance information in CMiC and ensure it transfers to Textura.
  • Assist in compiling and distributing PCIs and OCOs for review and signatures.
  • Update and maintain CMiC contact lists, including creating subcontractor contact lists for each project.
  • Incorporate subcontractor contact lists into the Operations and Maintenance Manual at project close.
  • Prepare Operations and Maintenance manuals.
  • Provide point-of-contact support for subcontractors.
  • Assist Superintendents with setting up jobsite trailer utilities.
  • Maintain the database for project archives, including field documents.
  • Provide construction-related administrative support to the Vice President/General Manager and/or Senior Vice President/Regional Manager, project team, and office as requested.
  • Handle incoming and outgoing mail and couriers, incoming calls on the main office line, office visitors, office supplies inventory, office equipment maintenance, and travel arrangements.
  • Perform other duties as assigned.
