Requirements
  • Demonstrated leadership experience, including performance management, coaching and developing high-performing teams; experience in a unionized environment is an asset.
  • Excellent organizational, interpersonal, communication and consensus-building skills, with the ability to collaborate effectively across interprofessional teams.
  • Strong analytical, critical thinking and problem-solving skills, with the ability to identify barriers, develop solutions and make evidence-informed decisions.
  • Proven ability to work independently, prioritize competing demands, adapt to changing environments and lead through change.
  • Demonstrated ability to build collaborative relationships, foster organizational learning and promote a respectful, team-oriented work environment.
  • Advanced computer proficiency, including Microsoft Office applications such as Word, Excel and PowerPoint, with strong formal writing and documentation skills.
  • Post-secondary education in business administration, health-care administration, management or a related field.
  • Five or more years of progressively responsible experience in administrative operations, including demonstrated experience in people leadership, performance management, coaching and employee development, ideally within health care or other service-based environments.
  • Experience in health care, a multi-site service environment and/or a unionized workplace is advantageous.
  • A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check is required.
  • Ability to pass and maintain Therapeutic Crisis Intervention certification and physical ability to perform all interventions are required.
  • A valid driver's license and access to a reliable vehicle are required.
Responsibilities
  • Provide direct day-to-day supervision for the administrative team, including assigning and prioritizing work, managing schedules and coverage, approving time-off requests and addressing operational concerns.
  • Conduct performance reviews, manage attendance and address performance concerns, including coaching and progressive performance management, in consultation with the Director, Business Operations and People and Culture as appropriate.
  • Ensure employees deliver administrative support that reflects CASA Mental Health's mission, vision and values.
  • Lead onboarding, orientation and continuous development and training for administrative employees.
  • Ensure consistent communication with the Director, Business Operations regarding operational issues that may impact services or the work environment.
  • Oversee administrative workflows such as referral tracking, appointment scheduling, client check-in processes and communication flow across the department.
  • Offer real-time coaching, role modeling and guidance to administrative staff to support skill development.
  • Support the development and implementation of competency standards and expectations for administrative roles.
  • Lead and contribute to administrative initiatives that enhance efficiency, service access and the patient and family experience.
  • Participate in the development and implementation of evaluation frameworks for administrative processes.
