Requirements
  • An Associate degree and at least 5 years of experience in a related role are required.
  • Ability to prioritize and coordinate multiple projects simultaneously in a demanding environment.
  • Demonstrated technical skills in Microsoft Office Suite, Outlook, and Adobe Creative Suite, including Acrobat and Photoshop.
  • Ability to exercise excellent judgment and discretion when handling sensitive information.
  • Demonstrated written and oral communication skills and the ability to connect with staff, faculty, students, and community members at all levels.
  • Ability to adapt to changing priorities and needs while remaining flexible.
  • Ability to collaborate with colleagues across Facilities and with campus partners and stakeholders.
Responsibilities
  • Provide reception services and respond to phone, mail, email, and in-person inquiries while representing the Facilities and Capital Projects offices professionally.
  • Manage the AVP’s complex calendar, schedule preparation meetings and debriefs, draft and circulate agendas, take meeting minutes, and coordinate follow-up actions.
  • Coordinate travel arrangements for the AVP, complete expense reports using Concur, and process reimbursements.
  • Develop and maintain electronic and paper administrative and project filing systems, including AVP, project, and general administrative files.
  • Maintain template files and guidance documents and verify consistent use of filing systems.
  • Organize and manage meetings, training sessions, orientations, campus tours, and other events.
  • Manage event logistics by booking venues, engaging outside facilitators, coordinating catering and media support, compiling and distributing materials, and preparing and circulating meeting summaries and minutes.
  • Assist with developing and formatting processes and procedures for the Strategy and Governance Team and organize feedback.
  • Provide backup support to the Executive Assistant to the Vice President for Facilities.
  • Provide backup support to the Manager, Administrative and Business Services, including day-to-day office operations.
  • Represent the Office of Capital Projects on Facilities or University-wide committees when assigned.
  • Complete special projects as required to advance the mission and goals of the Office of Capital Projects, Facilities, or the University.
Desired Qualifications
  • Previous experience in a higher education environment or the construction industry.
  • Interest in or familiarity with computer software technology, computer-aided drafting, database software, and related terminology.
  • Proficiency or advanced skill in Concur.
