Talent and Office Operations Coordinator
We are seeking an experienced Talent and Office Operations Coordinator to join our growing team in New York City. In tandem with the Talent team, you will be a cultural promoter and conductor that is responsible for creating and maintaining an environment where our employees love to work as well as be a welcoming face to visitors to our space. This role is also fundamental to ensuring that all operational aspects of our cool and fast-growing HQ are running smoothly.
This is an onsite role, based out of our NYC HQ, with a requirement of 5 days (M-F) in office.
Responsibilities:
Manage office operations, which include (but not limited to) ordering supplies for kitchens, conference rooms, and other common areas, to ensure these are stocked and tidy, and liaising with property managers, keep kitchen/conference rooms / common areas stocked and tidy.
Assist with recruiting operations, including but not limited to, interview scheduling and coordination, employer branding and other recruiting programs as assigned.
Manage new hire onboarding including onboarding to our HRIS, Soc2 Compliance programs, swag delivery, management of the Vendelux Buddy Program, in addition to remote program coordination and enhancements.
Manage swag vendors and partner with the Talent team to ensure high value items for new hires, anniversaries, and special events while remaining cost effective
Organize and create remote culture focused initiatives including, but not limited to, Trivia Nights, holiday celebrations, Lunch & Learns, and other fun events that connect team members to our values and mission
Assist with employee engagement survey creation, distribution and results for remote and onsite work and onboarding.
Assist with employee offboarding, communication and collection of assets
Identify office inefficiencies and create processes and solutions built to scale
Qualifications:
1+ years of experience in a highly customer focused/facing function, within a corporate setting
Extremely professional communication style both verbal and written
Very dedicated, flexible and confidential
Positive outgoing personality and able to communicate nicely under stress. Very empathetic as well as extremely friendly and welcoming. Comfortable saying no in a positive way without alienating others
High level of patience and can maintain a positive attitude even when you’re interrupted a lot
Ability to creatively and efficiently execute against several competing tasks and projects. Focus on effective teamwork with the capability to thrive in an autonomous environment
Very level-headed and able to handle stressful situations in a calm and thoughtful manner
Comprehensive organizational and multitasking skills
Salary: $50,000
