Requirements
  • An Associate's degree and 2 years of relevant administrative experience are required, or an equivalent combination of education and experience.
  • Ability to maintain confidentiality is required.
  • Exceptional organizational, time management, and administrative skills are required.
  • Strong verbal and written communication skills are required.
  • Strong technical skills, including a high level of proficiency in Microsoft Office, are required.
Responsibilities
  • Serve as principal administrative assistant to the Associate Chair for Research and other research leaders.
  • Provide office management and coordinating support services and manage activities related to building research infrastructure.
  • Coordinate activities with faculty members related to mentorship, grant reviews, and scheduling.
  • Serve as a liaison between the Associate Chair for Research and the department's research administration group.
  • Provide administrative support to the Center for Study and Prevention of Suicide.
  • Manage calendars and competing demands for the Associate Chair for Research, Co-Directors of the Center for Study and Prevention of Suicide, and other research leaders.
  • Record minutes of research administrative meetings and facilitate logistics for advisory board and strategic planning meetings.
  • Anticipate information needs, obtain background materials, and compile, edit, and verify reports, correspondence, publications, and speeches.
  • Prepare and sign routine correspondence and compose correspondence on policy or substantive matters.
  • Manage administrative functions for the Associate Chair's research programs, associated faculty, and students.
  • Assist with job descriptions, research staff hiring materials, and documentation for research trainees.
  • Lead arrangements for onboarding research faculty and staff, including office space and equipment, in collaboration with central department administration.
  • Schedule medical center and university facilities, coordinate equipment maintenance and service contracts, and support compliance with safety and university and department regulations.
  • Schedule events related to research activities, including Engel Rounds, Departmental Journal Club, the Strong Foundations clinical high-risk program, and Center for Study and Prevention of Suicide activities.
  • Provide finance support and property management for the Associate Chair's research laboratory.
  • Direct preparation of progress reports for grants and contracts; estimate and control expenditures; record and potentially approve changes to department or sponsored-project accounts.
  • Coordinate with Research Administration, the Accounting Office, and sponsoring agencies.
  • Manage a segment of a research program, including training and supervising clerical or nonprofessional field workers in a survey.
  • Compile data, prepare administrative and statistical reports and requisitions, and coordinate university services such as data processing and purchasing.
  • Plan and make administrative arrangements for meetings and special events, including facilities, equipment, travel, and coordination with university service departments.
  • Gather and compile Center for Study and Prevention of Suicide faculty information for an accomplishments database.
  • Coordinate the Psychosis Research Group database for the Schizophrenia Treatment and Research Program and conduct outreach to increase study recruitment.
  • Perform other duties as assigned.
Desired Qualifications
  • A Bachelor's degree is preferred.
  • Experience with administrative oversight of National Institutes of Health-funded research is preferred.
  • Proficiency in word processing, spreadsheets, and scheduling is preferred.
