Responsibilities
  • Oversee daily building operations across the group, including systems and services, room setups, cleaning schedules, and general upkeep.
  • Log, prioritise, and track maintenance requests; schedule repairs; and liaise with engineers, contractors, and vendors to ensure timely resolution.
  • Support compliance with workplace safety standards, conduct routine office inspections, and maintain documentation for audits and regulatory requirements.
  • Ensure internal teams, external contractors, and service providers submit correct and approved health and safety documentation and comply with requirements.
  • Coordinate service providers including cleaners, security, life safety, waste, catering, landscaping, heating, ventilation and air conditioning, decorators, and builders; monitor performance and assist with contract renewals.
  • Maintain accurate records of office layouts, equipment inventories, and space utilisation; support office moves and reconfigurations.
  • Assist with purchase orders, cost tracking, and sourcing supplies, equipment, and services for the offices.
  • Act as the first point of contact for facility-related queries across the group and ensure prompt, professional communication.
  • Support fire safety procedures, evacuation drills, and incident reporting.
  • Greet visitors where possible, ensure they are welcomed appropriately, and ensure they are met by their sponsor in a timely manner.
  • Be willing to work at the reception desk when larger meetings or events are taking place.
  • Maintain the company training matrix and work with other teams to keep records up to date.
  • Ensure certificates are received and stored correctly for future reference.
  • Assist with management of company vehicles and grey fleet, including updating portals, ensuring vehicle checks are completed on time, arranging hire or lease cars, negotiating new lease deals, arranging servicing or repairs, and running licence checks.
Desired Qualifications
  • Health and Safety training, such as IOSH or equivalent.
  • A valid United Kingdom driving licence, depending on site requirements.
