Requirements
  • 1+ year of administrative experience at an education or nonprofit organization, or other similar environment. Background in Higher Education preferred.
  • Bachelor's degree

  • Excellent written and verbal/interpersonal skills.
  • Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.

  • 2-3 years of administrative experience at an education or nonprofit organization, or other similar environment. Preference given for experience in general education areas (humanities, social sciences, and natural sciences/math) and/or at higher-ed art and design institutions.
  • Baccalaureate degree preferred with stronger preference for one of the areas represented at CCA.
  • Experience with budget management.
  • Experience with a student information system (SIS), e.g. Workday Student, and/or event software, e.g. Coursedog.
Responsibilities
  • Process payments and purchase requisitions for instructional/studio materials, supplies, vendors, independent contractors, catering, and speaker fees. Update budget ledgers accordingly.
  • Participate in coordination and promotion of college-wide minors overseen by the H&S Division
  • Assist with web and portal reviews and updates as needed.
  • Maintain Divisional email lists, google groups (faculty, students, alumni, etc.) for respective programs.
  • Liaise with other college offices and support-services as necessary.
  • Maintain program files and archives. Assist with program portfolios in collaboration with the program chair.
  • Other duties/special projects as assigned by divisional assistant director, and/or dean.
  • Run reports, enter and validate data; identify issues; propose potential solutions.
  • Obtain and maintain proficiency in all relevant college platforms and systems. Attend trainings and update skills as needed.
  • Understand and utilize academic affairs standard operating procedures while carrying out all work duties.
  • Take the lead in planning and implementation of engagements and activities organized by the division and its programs, such as: lectures and symposia (e.g., MFA Writing Tuesday Talks, VCS Spring Symposium, etc.); curricular reviews (e.g., First Year Review and Junior Reviews); curricular activities (e.g., guest lectures for combined classes, HAVC object kit demos, etc.); and divisional faculty meetings.
  • Reserve rooms for events, collect assets for design lecture series and newsletters, and post event listings.
  • Manage event pages (e.g. CCA Portal) and online invites (e.g. Eventbrite).
  • Liaise with AA functional teams, CCA Facilities & Operations, Public Safety, and other offices.
  • Assist with guest speaker arrangements and payments.
  • Manage a pool of student event assistants (work study).
  • Perform onsite event management and event wrap-up.
  • Manage reception planning, such as catering contracting and ordering, as well as creating requisitions for the appropriate payments
  • Recruit, hire, train, and supervise work study students.
  • Create and manage orientation materials for work study students
  • Track hours in line with work study budget allocations
  • Monitor program and project budgets, and update budget ledgers, as assigned.
  • Gather and prepare information for the annual budget proposal process, in concert with the assistant director, chairs, and dean.
