Requirements
  • Six months of post-high-school education, or an equivalent combination of relevant education and experience substituted on a year-for-year basis.
  • One year of relevant experience, or an equivalent combination of relevant education and experience substituted on a year-for-year basis.
  • A valid and unrestricted driver's license with two years of licensed driving is required.
  • The Arizona Notary Public Commission must be obtained within twelve months of hire or before completion of the probationary period and maintained throughout employment.
  • Candidates must be legally authorized to work in the United States at the time of application and throughout employment.
Responsibilities
  • Provide assistance to the public, city officials, and employees by answering questions about city policies, procedures, and services.
  • Guide citizens through processes including state liquor licenses, bingo and off-track betting, public records, claim filing, election support, and management of city boards and commissions.
  • Draft, review, and distribute official city documents, including legal notices, resolutions, ordinances, and correspondence.
  • Review documents for errors and make formatting corrections to ensure they meet city standards.
  • Organize, maintain, and ensure the accessibility of city records.
  • Transcribe and log council meeting minutes, ordinances, and resolutions in compliance with records retention laws.
  • Process and respond to public requests in accordance with state and local laws, ensuring timely and accurate delivery of requested information.
  • Prepare, organize, and distribute agendas, packets, and minutes for city council meetings, boards, and commissions.
  • Ensure the timely publication of meeting materials and public notices.
  • Assist with the coordination and administration of municipal elections, including voter registration, polling locations, and election-day logistics.
  • Ensure compliance with election laws and regulations.
Desired Qualifications
  • Experience in administrative support, clerical work, data analysis, or record keeping.
  • Experience using Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience using OnBase for document management, workflow automation, and agenda preparation.
  • Experience preparing reports and communicating with team members and stakeholders.
  • Experience producing accurate documents and maintaining meticulous records while minimizing errors.
  • Experience drafting and composing official correspondence.
