Requirements
  • 3+ years of experience in sourcing for meetings and events
  • 2+ years of hands-on proficiency Excel experience
  • Certified Meeting Professional (CMP)
  • Proficiency with Microsoft Office applications including Word, Outlook, Excel Dashboards, PowerPoint and SharePoint
  • Strong time management skills with the ability to prioritize and multi-task under time sensitive conditions
  • Excellent project management skills with the ability to manage multiple tasks and priorities simultaneously
  • Strong organizational, methodical, and problem-solving skills
  • Excellent verbal and written communications skills, along with strong interpersonal and customer service abilities

Responsibilities
  • Research, source RFPs, negotiate, and secure hotel and venue meeting space, guest room blocks, AV services, and other meeting services for both domestic and international events.
  • Assist in event planning including site selection, budget development, vendor contracting, event transportation, food and beverage coordination, and audio-visual services.
  • Collaborate with project teams and other internal clients to design and execute events in all formats: in person, hybrid, and virtual.
  • Act as a liaison between clients, venues and suppliers during the sourcing process.
  • Communicate workflow process and procedures to clients to ensure the success of the Meetings and Events team.
  • Negotiate and manage contracts in alignment with ICF and ICF client standards
  • Review, negotiate and manage banquet event orders (BEOs) to ensure they reflect meeting and event needs.
  • Provide guidance on travel arrangements in coordination with the Travel Team.
  • Promote awareness and utilization of Meeting & Events services and resources among internal ICF customers.
  • Oversee review and reconciliation of event-related costs and expenses.
  • Work with Preferred Provider National Sales Officers (NSO) to meet ICF’s business objectives.
  • Contribute to RFP, RFQ, and RFI efforts to support ICF business objectives are met using ICF’s technology and tools.
  • Collaborate and partner with internal stakeholders to achieve positive outcomes.
  • Continually build and maintain relationships with clients, hotels and suppliers.
  • Coordinate with the procurement department on purchase requisitions for meetings and events.
  • Assist with organizing and planning annual ICF holiday parties as needed.
  • Maintain records, reports, and documents using SharePoint filing system. Reconcile and track corporate credit cards used by the meetings and events team.
  • Provide support for Travel Team projects as needed.
  • Perform additional administrative responsibilities as assigned.
  • Collaborate with team members to collect and analyze event-related data.
  • Create reports for internal teams and stakeholders.
