Requirements
  • A high school diploma or equivalent is required.
  • A minimum of 2 years of relevant experience is required.
  • Ability to obtain HFMA Patient Access Essentials certification and demonstrate strong interpersonal skills may be considered in combination with relevant education, experience, or certification.
  • Knowledge of healthcare regulatory guidelines and compliance requirements, including OSHA, HIPAA, JC, AHCA, EMTALA, and CMS, is required.
  • Computer literacy and the ability to become proficient with multiple systems and technologies are required.
  • Ability to handle multiple tasks, software systems, and technologies simultaneously in a fast-paced, constantly changing environment is required.
  • Knowledge of generally accepted accounting principles, mathematical skills, and cash-management skills is required.

Responsibilities
  • Obtain, confirm, and enter demographic, financial, and clinical information required for financial clearance of scheduled patient accounts.
  • Contact patients' families or physicians' offices to obtain missing insurance information.
  • Verify insurance eligibility and benefits and notify patients and referring physicians of failed eligibility.
  • Collaborate with scheduling departments to identify add-on patients.
  • Obtain required authorizations, pre-certifications, and referrals.
  • Notify patients of financial liabilities and collect funds.
  • Maintain accurate records, files, and documentation in the system of record.
  • Coordinate functions from prearrival through discharge using multiple systems, including EPIC MyChart, Grand Central ADT, Cadence, Prelude, Radiant, OP Time, Care Everywhere, Resolute, Nice inContact Communication, and Aria Oncology.
  • Perform pre-service validation for in-person and virtual visits.
  • Assist patients with self-service technology, including MyChart and self-check-in kiosks.
  • Coordinate patient flow to support timely check-in and arrival to the service area.
  • Enter and update demographic, financial, and HIPAA-protected clinical information accurately.
  • Review real-time insurance eligibility responses or the master contract tool and update coverages as needed.
  • Explain and obtain signatures for legal, ethical, and compliance documents, including Consent for Treatment and Conditions of Admissions, Advance Directives, HIPAA Notice of Privacy, No Surprise Billing, Good Faith Estimate, Off Campus Medicare Co-insurance and Advance Beneficiary Notices, and Medicare Secondary Payer Questionnaire.
  • Perform insurance verification and obtain referrals or authorizations as needed.
  • Provide financial counseling, explain benefits, create estimates, notify patients of self-pay liabilities, and collect copayments, deductibles, coinsurance, self-pay packages, and previous balances.
  • Collaborate with providers and clinical team schedulers to coordinate complex follow-up care onsite or remotely.
  • Handle high volumes of incoming and outgoing calls, triage inquiries, respond to questions, direct calls, and document messages using appropriate software.
  • Collect and process currency, perform end-of-day cash-drawer reconciliation, and make timely bank deposits.
  • Support departmental key performance indicator goals, including copayments, previous balances, estimate collections, patient satisfaction, accuracy rates, and processing time.
  • Maintain communication with the healthcare team to support check-in, check-out, clinic flow, and patient and caregiver experience.
  • Recognize, analyze, resolve, and de-escalate workplace issues using sound judgment and critical thinking.
  • Work with the healthcare team to resolve unique situations and troubleshoot issues.
  • Perform cross-trained Front-End Revenue Cycle and Clinical Support functions and float across areas as needed.
  • Follow physical-distancing guidelines and required personal protective equipment procedures.
  • For emergency-room assignments, support emergency-room operations, use the ASAP module, perform ADT functions after hours, and work rotating evenings, weekends, and holidays.
  • For admitting assignments, explain and obtain acknowledgment for regulatory documents, complete patient self-determination checklists, document eligibility and benefits, maintain pre-admissions logs, coordinate bed availability and transfers, process admission orders, and coordinate with providers, nursing units, and utilization review.
  • Support the operational functions of CTU, hospital-based clinics, practice-based clinics, or remote-based call-center operations as assigned.
