POSITION PURPOSE:
Position provides project coordination and oversight for capital and tenant improvement projects reporting to the Development Lead regarding all aspects of Landlord Work and Tenant Improvement construction. The Position represents the needs of the development/landlord and acts as a liaison, outlining development and landlord requirements to Tenants and coordinating Tenant needs with development/landlord requirements. The Position is responsible for tenant plan reviews, overseeing landlord work and tenant build-out projects, and opening of tenant spaces. Ensures tenant coordination, design, and construction guidelines set forth in the lease are adhered to for all tenant spaces. Manages the tenant relationship with respect to store build-out, through design, construction, and opening process. Provides link between construction, design, external resources, and on-site operations teams to ensure critical items are communicated appropriately. Understands tenant lease provisions as they relate to store construction, landlord work, and tenant work. Ability to build rapport with Investments and Development and advocate on behalf of tenant on coordination of tenant work, landlord, and development as it relates to stub-ins, availability for utilities, and accessibility.
RESPONSIBILITIES:
- Manage landlord work, tenant improvement & capital projects from design, bidding, permitting, and construction to final inspections and invoicing.
- In conjunction with the Development Team and as required based on the project’s delivery methodology, solicit and contract architects, engineers, consultants, and contractors. Collaborates with all associated CIM departments to deliver quality, on-time/on-budget projects.
- Prepare and adhere to project schedules and related annual construction budgets. Work closely with construction accounting to track project costs.
- Enforce lease and contract provisions regarding construction costs.
- Ensure compliance with CIM standards for bids, contracts, accounting, construction safety, and code compliance.
- Ensure stated landlord work or existing building equipment supports proposed tenant improvement to ensure completion of landlord work and memorialize within the lease.
- Work with city building inspectors, municipal officials, and third-party contractors to facilitate project permits, compliance, and delivery.
- Ability to communicate with internal team members of Investments, Development, and Retail Leasing and provide updates on schedule and budget as necessary.
- Partner with Retail Leasing to develop budgets, schedules, lease reviews, negotiations, and provide feedback on requirements of the lease.
- Develop partnerships with Property Management, Retail Leasing, Investments, Construction Accounting, and Legal to develop schedules, budgets, and work to minimize operations in facilities that are occupied.
- Function as day-to-day liaison with third parties, including tenants, construction contractors, security service, vendors, and others. Communicate routine needs and respond to third-party requests. Escalate significant issues to the Development Lead as necessary.
- Assist Tenants in the close-out and move-in phase of the construction process.
- Maintain a program for producing finished copies of all written materials and correspondence.
- Prepare preliminary conceptual project budget estimates. Update during Design Development, monitor actual costs versus budget, and ensure periodic reconciliation reports are prepared and transmitted to Tenants.
- Develop and distribute master project schedules. Update periodically.
- Oversee pre-qualification and hiring of consultants and preparation of construction documents.
- Prepare Requests for Proposals (RFPs) for contractors, review and evaluate bid proposals, make award recommendations, and prepare contracts for execution.
- Read and interpret construction drawings. Perform Landlord plan review for conformance with standards and requirements. Distribute plans to obtain peer review comments from the project architect.
- Procure for Landlord and assist Tenant in obtaining building permits, special permits for permanent improvements, and occupancy certificates.
EDUCATION/EXPERIENCE REQUIREMENTS:
- Preferred 4-year Degree in Architectural and/or Business-related degree.
- Five years of commercial real estate experience with a primary focus on retail assets and coordination.
- Proficiency with PC-based business software, including Microsoft Office Word, Excel, Microsoft Project, and email programs.
- Knowledge of Yardi or similar software is desirable.

- Ability to solve common construction-related problems inherent in tenant & capital improvement activities.
- Ability to effectively juggle multiple priorities effectively and recognize when it is appropriate to escalate a situation to management for assistance with resolution.
- Ability to exercise appropriate judgment in appropriately maintaining confidential and/or proprietary information.
- Read and interpret English language documents such as office equipment maintenance and instruction manuals, company procedures, and policy manuals.
- Ability to effectively communicate in written or oral form with tenants, vendors, and fellow employees.
- Ability to read and interpret architectural and engineering construction documents.
- Ability to be persuasive in communicating on a wide variety of topics related to property management with tenants, visitors, vendors, public groups, company management/ executives, and co-workers.

Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required.
