Requirements
  • A Bachelor of Arts or Bachelor of Science degree is required in a related field such as Business, Accounting, Finance, or Human Resources.
  • Five to seven years of payroll experience is required, preferably in the nonprofit sector for a research-focused employer.
  • At least five years of supervisory experience, including responsibility for a dedicated functional team, is required.
  • Hands-on experience with the Workday Payroll Module, including post-implementation support, issue resolution, and process optimization, is required.
  • Strong working knowledge of Excel is required.
  • Strong oral and written communication skills are required.
  • Experience training staff is required.
  • Customer relations experience is required.
  • Attention to detail, problem-solving skills, and the ability to multitask are required.
Responsibilities
  • Supervise the Payroll Manager and Campus Payroll Coordinators in administering all aspects of payroll operations.
  • Advise the Chief Human Resources Officer and Associate Director of Human Resources on payroll-related matters.
  • Oversee the implementation and administration of field payroll.
  • Ensure payroll is processed accurately and according to established schedules and deadlines, including off-cycle payroll processing.
  • Establish and maintain internal controls by auditing payroll processes for compliance with federal, state, and local regulations.
  • Organize and review federal, state, and local tax forms, including W-4 forms and visa-status documentation.
  • Manage multi-state payroll processing and ensure compliance for out-of-state employees.
  • Collaborate with the Finance Department to resolve payroll discrepancies and bank reconciliations.
  • Serve as the primary contact for payroll-related audit inquiries and provide requested documentation accurately and promptly.
  • Manage the Glacier application for payroll and tax withholding for foreign national employees, students, and scholars.
  • Interact with principal investigators, project directors, grants officers, university staff, and external organizations regarding payroll matters.
  • Serve as the Workday Payroll lead and maintain advanced knowledge of the Workday Payroll module, including system updates, enhancements, and best practices.
  • Carry out month-end and year-end responsibilities and reconciliations.
  • Reconcile payroll-related liabilities, including taxes, benefits, and deductions.
  • Manage year-end activity related to W-2 forms, including systems access and communication to field employees.
  • Collaborate with Human Resources, SIS, Finance, and Grants and Contracts on reports, procedures, and system enhancements.
  • Identify problem areas, lead root cause analyses, recommend solutions, and implement improvements.
  • Determine payroll workflow priorities and workload balance with the Payroll Manager, including preparing and distributing campus and work assignments.
  • Provide training, guidance, and support to Payroll staff and field employees.
  • Participate in recruitment activities for the Payroll team and other Human Resources areas, including recommending staffing needs and participating in candidate interviews.
  • Respond to payroll inquiries and complaints and conduct investigations when necessary.
Desired Qualifications
  • A Master of Arts or Master of Science degree from an accredited institution is preferred.
  • Experience with Workday HCM, Compensation, and reporting capabilities is strongly preferred.
