Requirements
  • 1–5+ years of project coordinator experience.
  • Understanding of and adherence to applicable laws, codes, policies, regulations, and safety practices and procedures, as applicable.
  • Must successfully establish employment eligibility and satisfactorily complete background checks and required pre-employment testing as a condition of employment.
  • Experience and knowledge of Microsoft Office programs.
  • Ability to perform repetitive tasks such as typing on a keyboard or using a mouse for extended periods.
  • Ability to move about the office to organize, transport, or retrieve files, packages, or other office-related materials.
  • Ability to read documents, use a computer, and perform data entry.
  • Ability to communicate clearly with management and coworkers, including during meetings and phone calls.

Responsibilities
  • Provide sales support for the Taft Engineering team.
  • Generate purchase orders for engineering projects.
  • Communicate and coordinate with external vendors for necessary project forms, including vendor setup, W-9 forms, and certificates of insurance.
  • Communicate and coordinate with end users for necessary project forms, including customer setup forms, W-9 forms, and certificates of insurance.
  • Enter required information in Taft software for customers, vendors, contractors, and other parties.
  • Provide administrative support to ensure appropriate forms and documents are correctly filled out and completed for each project.
  • Coordinate with the accounting department and provide necessary documents and information for projects.
  • Create and maintain a shared electronic file system to store all project documents.
  • Assist engineering project managers with administrative support.
  • Receive, generate, and record project invoices and forward them to accounting.
  • Create and maintain customer relationship management records for projects.
  • Assist project managers with proposal development for Taft Engineering projects.
  • Coordinate submittals with customers and contractors, and track and file approvals in appropriate job folders.
  • Work closely with internal team members and external sales and support teams to ensure high customer satisfaction.
  • Travel in support of sales for training, meetings, and customer site visits.
  • Cover voicemail and email for sales staff while team members are on vacation or unable to access their mailboxes.
  • Monitor the phone system and answer customer calls.
