Requirements
  • Five years of directly relevant experience providing financial and administrative support, including funds execution, budget tracking, commitments and obligations, financial reporting, and procurement documentation.
  • A Bachelor's Degree or equivalent experience.
  • Proficiency with Microsoft Word, Microsoft Outlook, Microsoft PowerPoint, Microsoft Excel, Microsoft Access, Microsoft Power BI, and Microsoft SharePoint.
  • Must have or be able to obtain and maintain a Real ID or passport in order to undergo commercial airfare travel.
  • Must have or be able to obtain and maintain a valid driver's license.
Responsibilities
  • Provide financial administrative support for the planning, tracking, analysis, and execution of funding.
  • Utilize industry and government best practices and standards, including the Federal Acquisition Regulation, Defense Federal Acquisition Regulation Supplement, Joint Travel Regulations, Federal Information Resources Management Regulation, and Department of Defense 5000-series guidance.
  • Provide contract execution support for purchase orders and task orders through contracting and financial offices to ensure timely execution and obligation of funding actions.
  • Populate budget and financial information into executive-level presentations.
  • Track fund execution, including commitments, obligations, unobligated balances, and expenditures for all programs, and provide reports.
  • Support the formulation of strategic financial plans; prepare cost estimates, Purchase Request Worksheets, life-cycle budget planning materials, financial briefings, exhibits, and reconciliations related to funding commitments and obligations; and prepare spreadsheets and documentation for directed financial data calls.
  • Prepare spend-plan worksheets or documents analyzing authorizations, commitments, obligations, and balances, and correlate financing requirements into executable budgets.
  • Assist with scheduling, coordinating, and updating meetings using available online and offline resources.
  • Assist with preparing, receiving, and monitoring shipments for Office of Strategic Resources staff, and assist with receiving, sorting, and distributing mail and correspondence.
  • Coordinate with Office of Strategic Resources staff to gather, prepare, and review documentation for submission into the Department of the Interior's Document Tracking System.
  • Support Office of Strategic Resources staff in receiving, documenting, and verifying assigned controlled property and in preparing and updating physical and digital property records.
  • Assist with collecting and reviewing travel authorization and travel voucher documentation, and review completeness in accordance with Federal Travel Regulations, Department of the Interior travel policy, and applicable agency travel guidance.
  • Support collection and review of required human resources documentation for personnel actions and update tracking resources for personnel actions.
  • Assist with collecting and reviewing documentation for government purchase card purchases, including verifying approvals, signatures, and supporting documentation are present and properly saved for records.
  • Perform routine office tasks such as printing, filing, moving boxes and equipment, and organizing supplies and equipment.
  • Learn administrative processes, adapt to new guidance and process changes, document work processes in process guides, tip sheets, and standard operating procedures, and manage the distribution, versioning, and updating of produced documentation.
  • Review, enter, and validate financial data and transactions in prepared spreadsheets and reports.
  • Complete required Department of the Interior training to access the Financial Business Management System and Business Intelligence Launchpad reporting tool for pulling data and generating reports.
  • Pull data and reports from the Financial Business Management System and Business Intelligence Launchpad to generate regularly produced financial and procurement reports.
  • Review procurement documents and produce quality requisition documentation in accordance with Federal Acquisition Regulations, Department of the Interior acquisition policy, and applicable agency acquisition guidance.
  • Maintain financial reports and dashboards created using Microsoft Excel, Microsoft Access, and Microsoft Power BI.
  • Learn financial processes, adapt to new guidance and process changes, document work processes in process guides, tip sheets, and standard operating procedures, and manage the distribution, versioning, and updating of produced documentation.
Desired Qualifications
  • Relevant work experience with federal financial systems and Federal Acquisition Regulation/Federal Travel Regulation experience.
  • Proficiency with Microsoft Copilot, Microsoft Power Automate, and Microsoft Forms.
