Requirements

Responsibilities
  • Use Workday daily for procurement and purchasing tasks.
  • Use Workday to verify that speed charts are valid and have sufficient funds.
  • Work with UBC Supply Management and SBQMI staff and faculty to prepare specifications for purchases requiring requests for proposals.
  • Work with vendors to ensure quotes are Canada Foundation for Innovation valid when required and compliant with UBC, SBQMI, and funding-agency guidelines.
  • Work with vendors to ensure quotes are accurate and shipping and receiving contact information is correctly entered.
  • Order equipment, supplies, and consumables for department members.
  • Process purchase order requisitions for off-campus and on-campus suppliers.
  • Ensure appropriate backup documentation supports purchases made and received on behalf of SBQMI.
  • Keep detailed records for each purchase.
  • Track multiple invoices and liaise with finance staff to ensure invoices are authorized for payment in a timely manner.
  • Reconcile departmental purchase cards in accordance with UBC policy and procedures.
  • Liaise with finance staff to reconcile accounts and track budgets for procurement projects.
  • Perform shipping and receiving activities, including notifying recipients when orders are received and preparing receiving reports.
  • Work with couriers, customs brokers, and other parties to ensure items clear customs.
  • Request and schedule pickup of goods by courier or dispatch.
  • Notify vendors of incorrect shipments and broken or defective goods and obtain authorization for returns or replacements.
  • Follow up with vendors to correct shortages, damaged or defective goods, shipping delays, and back orders.
  • Coordinate internal charge-back systems and prepare paperwork to recover costs.
  • Track new and existing equipment, including serial numbers, warranty expiration dates, and warranty returns.
  • Produce regular control reports as requested.
  • Perform other purchasing, logistics, equipment inventory, facilities, and services tasks as required.
Desired Qualifications
  • Advanced experience using Workday financial management systems is strongly preferred.
  • Knowledge of procurement is preferred.
  • Training in office procedures and practices would be an asset.
  • Knowledge of university policies and procedures and experience working with researchers is preferred.
