Requirements
  • A bachelor's degree in a relevant field is required.
  • A bachelor's or master's degree in business administration, public administration, or a related field is required.
  • A minimum of 8 years of relevant experience is required.
  • Experience in research administration, including supervisory experience, is required.
  • Deep knowledge of federal regulations, including National Institutes of Health, National Science Foundation, and Department of Defense regulations, Uniform Guidance, and institutional compliance frameworks is required.
  • Demonstrated success in managing complex teams and sponsored research portfolios is required.
  • Experience with enterprise systems such as Huron Research Suite, Workday, and eRA Commons is required.
Responsibilities
  • Oversee the post-award administration of all sponsored programs for the University.
  • Develop and maintain the post-award database for sponsored programs.
  • Monitor, interpret, and direct the proper application of government and external funding organizations' rules and regulations.
  • Interact with university departments on system implementation design and planning.
  • Participate in fiscal year-end tasks and other mandated year-end requirements.
  • Hire, mentor, and train staff, and conduct performance evaluations and corrective actions.
  • Provide advice to leadership and staff regarding sensitive, critical, and highly complex issues, and interpret sponsor policies and government regulations.
  • Supervise staff review of grant and contract award terms and negotiation of sensitive and complex sponsored-program issues and awards.
  • Establish and assess internal controls within the unit, and ensure employees are trained on controls and university policies and procedures.
  • Provide day-to-day leadership of the Sponsored Programs Office.
  • Lead and integrate pre-award and post-award functions across the research lifecycle.
  • Supervise and mentor functional leaders, establishing expectations, accountability, and performance standards.
  • Identify and escalate operational risks, resource constraints, and compliance concerns, with recommendations for resolution.
  • Coordinate operational alignment with institutional partners, including the Office of Research Administration, Finance, and Human Resources.
  • Implement strategic and operational priorities established by Cancer Center leadership.
  • Define, monitor, and report on key performance indicators for pre-award activities, including submission timeliness, proposal volume, award success rates, and proposal issues and corrections.
  • Define, monitor, and report on key performance indicators for post-award activities, including award setup, expenditure management, financial reporting accuracy, subrecipient monitoring, cost transfers, payroll allocation adjustments, and closeout performance.
  • Translate performance data into actionable process improvements and operational enhancements.
  • Ensure appropriate staffing models, workload distribution, and resource planning for a high-volume, complex research portfolio.
  • Oversee implementation and optimization of systems, tools, and workflows supporting sponsored research administration.
  • Establish and maintain operational frameworks for developing, reviewing, and submitting grant and contract proposals.
  • Ensure consistent execution of sponsor and institutional requirements through standardized processes, quality controls, internal controls, and team-level accountability.
  • Provide oversight of complex, multi-component proposals, including program project, training, and center-level submissions.
  • Support identification and dissemination of funding opportunities aligned with Cancer Center priorities.
  • Provide oversight and accountability for post-award financial management, including budget implementation, expenditure monitoring, financial reporting, subrecipient oversight, and project closeout.
  • Ensure effective coordination and handoffs between pre-award and post-award functions.
  • Develop and implement policies, procedures, and internal controls to strengthen compliance and operational consistency.
  • Lead internal reviews and support institutional readiness for audits, site visits, and sponsor evaluations.
  • Serve as an operational liaison with institutional stakeholders and external sponsors.
  • Provide input to leadership on emerging risks, compliance trends, and operational impacts related to sponsored research.
  • Ensure development and delivery of training, guidance, and communications related to sponsored-program processes and requirements.
  • Promote consistent, high-quality administrative support for faculty and research teams across the Cancer Center.
Desired Qualifications
  • Certified Research Administrator certification is preferred.
  • Experience in an academic medical center or National Cancer Institute-designated cancer center is preferred.
