Requirements
  • Demonstrated experience, training, or certification that provides the necessary skills to complete all tasks described in the job description, with or without a reasonable accommodation.
  • Knowledge of problem sensitivity and deductive reasoning, including identifying problems, applying logic, evaluating alternative solutions, and independently selecting appropriate actions.
  • Knowledge of company policies, federal, state, and local laws, government regulations, and agency rules pertaining to managed properties.
  • Ability to read, understand, and communicate information and ideas in writing.
  • Ability to listen to, understand, and communicate ideas and information verbally.
  • Ability to perform basic mathematical operations with whole numbers, fractions, and decimals; compute rates, ratios, and percentages; and understand basic financial statements.
  • Willingness to learn to prepare annual budgets.
  • Ability to multitask and manage multiple projects.
  • A minimum of 3 years of experience as an Executive Assistant or Office Manager.
  • Demonstrated experience planning, scheduling, and completing complex projects with minimal guidance.
  • Significant experience using Microsoft Word, Excel, PowerPoint, and Outlook.
  • Demonstrated ability to work with technology and software development.
Responsibilities
  • Support the Vice President and Assistant Vice President of Property Management and the Property Management Division.
  • Oversee day-to-day office operations, order supplies, and manage office resources.
  • Coordinate vended office services, such as carpet cleaning and general maintenance.
  • Ensure office equipment and facilities are maintained and support technology needs.
  • Maintain regional property listings, the pipeline, and the organizational chart.
  • Manage correspondence related to formal reviews from applicants and residents, auditors, funders, and business partners.
  • Manage tasks, timelines, and communications associated with development project deliverables such as Management Agreements and Management Plans.
  • Provide administrative support for special projects for the Vice President, Assistant Vice President, and Property Management Division.
  • Create and manage Outlook calendars and reports in Excel, SutiExpense, Nexus, and other software tools.
  • Support recruitment and onboarding by managing job postings in iCIMS, coordinating interviews, and reviewing new-hire packets.
  • Draft Excel cost comparisons, financial reports, and budget materials.
  • Process invoices and expense reports as requested.
  • Assist with preparing and assembling management proposals.
  • Draft, proofread, and mail correspondence.
  • Prepare meeting agendas and presentation materials.
  • Track project timelines and deliverables.
  • Work with sensitive and confidential information.
  • Anticipate executive needs and proactively solve problems.
  • Create and maintain hard-copy and electronic files.
  • Schedule meetings and conference calls.
  • Screen telephone inquiries and direct callers to appropriate resources.
  • Provide information and assistance in a professional manner.
  • Build and maintain positive relationships with clients, partners, and employees.
  • Lead or assist in planning and executing property management events, such as holiday parties and staff appreciation events.
  • Manage copying tasks in-house or through a print vendor, assemble enclosures, create labels, and ensure mailing deadlines are achieved.
  • Assist with other administrative tasks requested by the Vice President and Assistant Vice President of Property Management.

  • Demonstrated experience in the affordable housing industry is highly preferred.
