Requirements
  • At least 4 years of hotel sales and event services experience, preferably in the Boston market.
Responsibilities
  • Conducts tours of the hotel event space and guestrooms; entertains as necessary during planning stages and otherwise as appropriate.
  • Discusses rooms and catering requirements for assigned Groups and Events, calculates costs, negotiates price, and prepares sales proposals and agreements, suggests menu modifications in response to customer needs, and upsells services and resources to clients whenever possible.
  • Manages all logistics for events booked directly and acts as liaison to various hotel departments to ensure top execution.
  • Contacts clients and confirms program, dates, times, event space requirement, expected attendance and other pertinent details.
  • Assists clients with guest room reservations, accounting procedures, food and beverage selections, audiovisual needs, equipment rental, vendor referrals, transportation, recreational activities, and any other assistance needed.
  • Maintains pricing integrity and proposes upscale menus for all groups.
  • Prepares Event Orders for all events, prepares group resumes, coordinates with all hotel departments involved in execution of respective events, and communicates changes effectively.
  • Adjusts event space to maximize potential revenues.
  • Establishes payment methods for all events and master billed guestrooms.
  • Conducts Pre and Post Convention meetings.
  • Assists the client in menu planning; coordinates food, beverage, meeting room set-up, and other services as requested, ensuring requirements are met.
  • Participates in daily lead meetings, weekly catering sales meetings, daily EO meetings, and monthly department meetings.
  • Attends EO meetings, Weekly Resume meetings, Group Pick-Up meetings and Departmental meetings.
  • Prepares addendum agreements for any in-conjunction business following the original contract phase.
  • Finalizes programs – develops menus and agendas, ensures EOs are issued, and completes all pertinent correspondence with outside vendors.
  • Represents the hotel at client events to ensure smooth delivery of arrangements.
  • Responds quickly to guest requests and follows up to ensure guest satisfaction within 24 hours.
  • Develops a working knowledge of hotel operations including Food and Beverage, Guest Services, and Reservations.
  • Develops knowledge of company and department sales and catering policies and SOPs and ensures adherence by the sales team.
  • Meets or exceeds set food and beverage goals through upselling and flexible scheduling.
  • Assists in the preparation of required reports in a timely manner.
  • Conducts professional site inspections of the hotel with clients, highlighting key features and benefits.
  • Uses the property’s computerized sales management system to manage business, generate reports, enter business, block space, and build accounts.
  • Meets and greets onsite contacts.
  • Be present throughout on-site programs, including weekends or evenings as necessary.
  • Reviews meeting planner evaluations with the Director of Catering to ensure issues are followed up.
  • Accurately forecasts individual booking revenues and cancellations; tracks consumption on all bookings.
  • Responsible for meeting and exceeding personal sales food, beverage, and rental revenue budgets and goals monthly, quarterly, and yearly.
  • Discusses event/program requirements, calculates costs, negotiates price, prepares sales proposals, suggests menu modifications, and upsells services and resources to clients.
  • Maintains ongoing contact with active accounts to promote repeat business and identify needs for additional catering services.
  • Promotes catering services, food and beverage, and event facilities to maximize profits from revenues and meeting room rental.
  • Knows relevant policies including menus and pricing, food handling, cancellations, service charges, guarantees, payment, shipping and receiving.
  • Communicates event details to client and hotel departments via event orders and internal meetings.
  • Performs encounters with guests and employees in a friendly, service-oriented manner.
  • Maintains regular attendance in compliance with Accor and Raffles Boston Standards; attends required meetings and trainings.
  • Maintains high standards of personal appearance and grooming; complies with hotel standards and regulations.
  • Adheres to all Raffles Boston Sales & Catering Standards and procedures including trainings.
  • Other duties as assigned
