Responsibilities
  • Sort and work through incoming emails in the department's Business Office shared email boxes, obtain account numbers and supporting documentation, and resolve discrepancies with faculty and staff members.
  • Stay informed of AgriLife and Texas A&M University disbursement guidelines.
  • Use AggieBuy for accounts payable processes, including processing expenditure vouchers, preparing requisitions, allocating departmental purchase orders, monitoring receiving, answering purchase-order status questions, assisting with order processing, setting up new vendors, and responding to vendor payment inquiries.
  • Serve as a delegate for departmental payment cardholders and reconcile and reallocate payment-card transactions monthly while ensuring compliance with purchasing guidelines and account budgets.
  • Approve Emburse non-travel reports for faculty and staff.
  • Assign asset numbers to inventoriable items upon purchase.
  • Approve AggieBuy requisitions and invoices, verify vendor, remit-to address, amount, and invoice number, investigate transaction errors, and recommend corrective action.
  • Assist with specialized business tasks and activities as assigned.
  • Assist vendors with discrepancies and inquiries on problem invoices and liaise with Texas A&M and AgriLife fiscal offices to resolve related issues.
  • Assist research faculty and staff with contract and grant account inquiries and contract and grant guidelines.
  • Enter financial expenditure data for departmental reporting.
  • Use financial applications to provide financial information to principal investigators, research staff, and vendors.
  • Balance and oversee mileage reports and fuel billing and resolve account issues.
  • Monitor and prepare accounts for year-end closing according to deadlines, coordinate annual fiscal-year closing activities, and draft new fiscal-year plans.
  • Provide input and assist with developing policies, procedures, and guidelines.
  • Perform other duties as required.
